MINUTES : Minutes of 8 Sept 2013 Executive Board Meeting were read by Lola T Beagley and approved by those present.

FINANCIAL REPORT: presented by Treasurer, Barbara L Tolman, and is attached. The report was approved by unanimous vote .

PRESIDENT’S MESSAGE/REMARKS: John advised that much more participation is needed from the youth in the family. The April Semi Annual meeting will be used to promote actions/activities for a comprehensive youth involving semi-annual meeting in October. Tom Tolman indicated that many youth visit the Tolman Family Group facebook page.

BUSINESS: John Tolman commented on the poor attendance at the October 2013 Semi-Annual meeting and asked for suggestions to improve the attendance. The following were mentioned:

Electronically announce the April meeting via emails and facebook
Kay Badger suggested a meeting/fair in the Bountiful Tabernacle focused on getting the youth interested in Thomas Tolman history.
Have an activity in the Tolman Park
Have a temple session in the morning.

Suggestion for a speaker for the April meeting was Jay Burrup who is in the Church History Research Dept. Kay Badger will check with him.

Loraine will speak on issues that she feels needs addressing

Need to schedule additional cleanup of the filing cabinets at the Center.

Genealogist and Temple Work – Loraine T Pace :

1. She continues to scan pertinent documents retrieved from the filing cabinet cleanup

2. Received an email from Donavan Tolman in CA and is a descendant of Nathan Tolman.

3. Update on the Thomas Briggs journals- The hard copy is over 500 pages and covers time period of 1881 to 1909. It will be available on CD.

4. Still wrapping up loose ends on the “outside” lines. Much of research in England dead ends in 1500’s.

5. Church is making it much easier to do research from home with the digitizing of books.

Cyrus Line – Kay Badger: No report but would like copies of emails and will send

Loraine the Cyrus ged com.

Postcard and Magazine – Tom Tolman: Needs the magazine articles by March 1, 2014.

1. Has sorted through the 11 drawers at the Family Center to discard unneeded documents. Has completed 7 of the 11 drawers. Many sheets just listed Mr & Mrs and 1 child

2. We are back to the 1500’s on the main Thomas Tolman lines. There is not enough information in the records to proceed further as the old records just lists a child’s name and birth date but not the parents.

3. Set the date of 22 June 2013 for the semi-annual meeting from 9:00 am to 1:00 pm. It is to be a workday at the Thomas Tolman Family Center to sort through the filing cabinets. Decided to sell the filing cabinets for $75.

4. As will be digitizing the pertinent documents. Douglas Jones suggested since everything is internet based perhaps the journals should be changed to PDFs

5. Need to think about closing the Thomas Tolman Organization and selling the facility. We are now an online generation and the physical facility is becoming obsolete. Payment of dues and donations have decreased dramatically over last 2 years. It was suggested to keep the house for just a rental but all the rental income goes back into the building and there is no profit bearing project.

Possibilities:

Donate the photos and historical documents to the Bountiful Museum that is currently in creation. Part of the museum will be an archival room.
Possible use of the funds from sale of the facility:

1. perpetual genealogy fund

2. funds for research

3. donate to the Bountiful Museum

4. donate to the Chesterfield Organization

6. Current Issues with the physical facility

Rain coming in onto the cabinets in the basement room. Tom Tolman indicated has a friend who can fix the leak, with flashing, as has nothing to do with the roofing
Roofing still needs to be replaced. The question was raised if we plan to sell the facility should we fix the roof. Probably a better option to fix the roof. The funds are available but will probably take most of the $11,000 plus balance. It was stated that the proceeds in the account do not come from the rental of the facility but has come the dues, donations and sale of the products (journals etc.)
Jake Howlett reported that often find dust/debris on top of the cabinets in the storage room but no moisture. It was determined that this is a result of an earlier flooding from the upstairs area, which has been fixed. The ceiling material was compromised by earlier flooding but should not be a problem, now.
Discussed the internet/phone connection in the facility. It was decided to keep it under the Tolman Organization. Jake Howlett will call Century Link to correct how the account is listed

7. Facility Rental:

Douglas Jones reported is moving from the upstairs apartment to West Valley City on June 15, 2013
Tricia Leslie reported that the Jones have made many improvement throughout the upstairs including the attic. The area has been well taken care of and is a credit to the Jones family
Tricia has a prospective renter (family from her ward) who can move in when the Jones move out. (Adam and Gwen Fisher). She related facts and findings about the family and it was decided to proceed with the rental of the upstairs apartment to this family.

A suggestion was given by Loraine Pace that the surplus funds from the rental income be applied to the fund for replacement of the roof. It was agreed that a review would be done on previous surplus funds and they would be added to the roof fund.
Approval was given by Loraine Pace to continue paying Elese Elwood $100.00 a week through June 30, 2013, for genealogical research.

PREDIDENT’S MESSAGE/REMARKS: Congratulated Krisite and Robert Pitts who will leave shortly for a mission in the Philippines. No report on research this month.

A goal that is not written down is only a wish. Her goals:
1. finish editing short histories
2. sort and reorganize filing cabinets at the center

Suggested goal for the board members is to ensure they have completed all their family group sheets. Then get 10 other family members to send in their sheets.
Provided an update on research on Jeremiah Mecham. She received a booklet from Ralph Mecham with recent research and that the research now will be done by his son, Owen Mecham.
Looking for a contact on the Holbrook line
Pray for help- Bore testimony of Lord’s help when reading the films that each time a frame appeared that was readable, it contained the last name that she was researching.

Kristie Pitts suggested that a notice be posted on the Tolman Family Website that a replacement for her is needed on the Cyrus line.

Ben gave a whirlwind tour of Family Tree. He discussed the Learning Resources that are available, indexing, blogs and how to get help. A list of web sites was reviewed and is included with the minutes.

Right now to get into Family Tree you have to be invited but soon it will be available to everyone. He encouraged all to go to Family Tree training. These are some of the characteristics of Family Tree:

PRESIDENT’S MESSAGE OR REMARKS: John gave his first 20 years life history to his family for Christmas. He expressed how much they all really loved it. His goal is to finish the rest of his history by Christmas. He gave us a goal to work on our history and not put it off. .

Host’s report:

Business: Loraine will talk to Glenn Tonge about being released. Janis will be leaving on a mission and will need a replacement. Loraine has two possibilities; Lola Higly or Shirlene Tolman. Trent will be moving to St. Croix, Bahamas in August. It might be a possibility for him to continue from there. Tom passed around the list for Family Officers correction. Dues are down. Trent will call for donations on Facebook and Twitter. Do we as a family want to donate to the Bountiful Museum? A suggested amount was $5,000. Most were uncomfortable with this amount and using donation money for the project. Information will be included in the magazine about the museum and a way to contribute.

FACILITIES REPORT: Roof fund is still low. Tom will put in magazine a request for more donations. Roof should last another year.

Bank Operations using current year income:

Our present bank balance at 12/31/11 is very comparable to our bank balance at 12/31/10. There is only a small difference of just under $600.00 between them. This means that most of our 2011 expenses were funded by the income (rent, donations and sale of product) generated during the year.

Self-Sustaining situation of Family Home:

Once again we have been able to keep the Family Home Self Sustaining for another year.

Printing and Distribution of Family Magazine and Newsletter:

It only cost us $360.00 to print and distribute our Newsletters and Family Magazine this year. This is a great savings over the couple of thousand we used to spend just a few years ago.

The State of our Finances:

I can guarantee that the books have been handled correctly and that I am adhering to general accepted accounting principles, (GAAP) so that we can all have confidence in our finances. The checking account is reconciled every month.

They want to make the site more user friendly. Work together more as a family rather than working as one. He showed the history of Family Search from the beginning. Goal is to have all people able to use and work on system by mid-year 2012. He was very interesting and knowledgeable.

Research Report

A. Research Progress:

1. We are close to wrapping up some lines (Belgraves, Strutts, Frosts, Taylors, etc.)
2. Harder to research in England in the early 1600s & 1500s, as records are so sketchy (christenings of children without mention of either parent) or damaged ( Earliest documented thus far are marriages of 12th gg parents John and Ellen Frost md. 25 Apr 1538 in Somerton, Suffolk, England and 12th ggparents Richard Belgrave and Elizabeth Hadelstone md. 25 Jan 1544, in Berkhampstead, Hertfordshire, England.

B. Editing of Journals of Thomas Briggs, father of Emma and Mary Ann Briggs who marry Jaren Tolman, son of Judson Tolman. (Slow, laborious process to make it readable)

C. As I listened to: Elder David A. Bednar, of the Quorum of the Twelve - Saturday afternoon Conference Session, I thought how pleased my father would be. When I was a senior in high school my father got permission to teach genealogical research at the Bountiful Seminary as one of the class choicest for the seminary students. The success of those classes prompted him to prepare a proposed course outline to submit to the Church Education System for approval to have genealogy taught at other seminaries. I have a copy of that proposal. He believed long before Elder Bednar said it that the youth of the church should be doing family research and temple work. He felt most of us wait until we have one foot in the grave and the other on a banana peeling before we begin taking this work seriously. We had regular temple excursions as seminary students to do baptisms for the dead with our teachers doing the officiating. Others didn’t have father’s vision so, to my knowledge, the Bountiful Seminary was the only one to ever offer a class in genealogical research for the youth.
Elder Bednar:
“The youth of the rising generation have a key role to play in the work of salvation,
"...as members of Christ's restored Church, we have the covenant responsibility to search out our ancestors and provide for them the saving ordinances of the gospel....
"I now invite the attention of the young women and the young men and children of the rising generation as I emphasize the importance of the Spirit of Elijah in your lives today.
... Many of you may think family history work is to be performed primarily by older people," he said. "But I know of no age limit described in the scriptures or guidelines announced by Church leaders restricting this important service to mature adults. You are sons and daughters of God, children of the covenant and builders of the kingdom. You need not wait until you reach an arbitrary age to fulfill your responsibility to assist in the work of salvation for the human family....
"It is no coincidence that FamilySearch and other tools have come forth at a time when young people are so familiar with a wide range of information and communication technologies. Your fingers have been trained to text and tweet, to accelerate and advance the work of the Lord — not just to communicate quickly with your friends. The skills and aptitude evident among many young people today are a preparation to contribute to the work of salvation....
"My beloved young brothers and sisters, family history is not simply an interesting program or activity sponsored by the Church; rather, it is a vital part of the work of salvation and exaltation. You have been prepared for this day and to build up of the kingdom of God."

Bountiful Days parade chairman is looking to see if our family would like to present a float for the parade. He will look for a chairman. Wendy Cushing would like to help. She works for a construction company and has access to a trailer.

PUBLICATION EDITOR: Tom Tolman He will meet with Jean Bown in two weeks and review Thomas Briggs Books and Diaries. He will have Carr Printing do a 6x9 color postcard. It will be sent by regular mail instead of bulk, due to the low number of mailings, this way becomes more economical; at a cost of 18 cents per card.

INTERNET REPORT: Trent Larson He will send e-mail address’ for all family members to Tom Tolman. He will change Web Hosting from Robert Tolman to Tolman family.org. It will cost $75.00 a year. FINANCIAL REPORT: Barbara Tolman (Date of report, prepared by, revenues, and expenditures noted) We have been able to operate on income this year, so the balance is as it was at the first of the year at over $9,000.00. We have also paid for the concrete work with income. We have also been able to save money by using the internet to send out the magazine. In addition, we also have been ahead by just under $2,000.00 on the rent this year for research money. Our financial records all balance with the bank. We use accepted accounting principles and our balance now is about $11,000.00

Johns Remarks: John talked about the status of the house in terms of upkeep, mentioning the completed concrete project, and tree trimming, and repairs to the roof. He stated the roof will need to be replaced in the future, and that the cost for that would be around $10,000.00 to $15,000.00.

GENEALOGIST: Loraine Tolman Pace: Loraine mentioned several cousins who have died recently, and the fact that she attended the funeral of Stanley Earl Tolman that very day. She talked about the important role played by the Tolman center in serving as a caretaker for journals, pictures, etc. It is important that we take care of the center. She has been working on editing the Thomas Briggs’ journals. It is difficult job with the spelling problems, and is taking a great a deal of time. The journals have great detail and the project will be very worthwhile when done. Loraine is researching 70 surnames on our ancestral lines. These lines cross the waters to England in the early 1600’s or late 1500’s. We have a distinct place in England for all but 5 of the 70 surnames. We have gone as far as we can go on some of the lines.

There are three scenarios on Thomas Tolman in New Family Search. This continues to be a very difficult problem. We are trying to clean up the information on all ancestors of Nathan on down. We still have lots of work to do. We need younger members of the family to get involved. Research is now geared to the younger generation on the computers etc. We desperately need more help. There continues to be a problem of multiplying errors in the records. This is easy to do with one wrong choice. Loraine then bore her testimony of the work.

OTHER BUSINESS: Special Guest Randy Sellers was introduced by Glen Tonge. Brother Sellers is considered Mr. Genealogy in Glen’s stake. He is a CPA who owns a bank and a number of other businesses. He is a Certified Professional Genealogist and the Gospel Doctrine, and Genealogy teacher in Glen’s ward.

Brother Sellers talked about using different research techniques that the traditional, using younger people in the research. He showed the group assembled how he could find and use birth and marriage records in as little as 25 minutes on a computer to do the work that would take hours otherwise. He gave important tips on what do look for in the records. Using this method, there are shorter, easier projects for young people to do that can be done at home. He talked about the use of extracted records, and said that indexes that are coming that are revolutionizing research.

FINANCIAL REPORT: Barbara Tolman

Barbara gave a detailed financial report, reviewing the expenditures for 2009. Our finances are all in order and categorized, and the research center is paying for itself. Audit was given by a cousin Preston Jay Waite.

PRESIDENT’S MESSAGE OR REMARKS: President John O. Tolman We should pitch our Hearts & Minds to the Temple. We must save both the living and the dead; brother, sister, child. We must all become more involved. We need more help in our family organization; documentation, Temple work, research. Small projects are available from Lorraine Pace for individuals to work on or work with her on research. John told a sacred story of feeling the presence of his Grandfather in the Temple when he took out his endowments prior to his mission.

We need to familiarize ourselves and use the computer for our family history; classes, Desert News, social networking, Facebook are ways to learn and share.
