SWING PDF Converter is a premier tool for extracting content from Lotus Notes. In its newest version, it brings features for structured export of Lotus Notes emails and other types of documents.

March 26, 2012

SWING Software announces today the release of SWING PDF Converter 4.0 for Lotus Notes – a software tool for Notes email and document archiving, sharing and web printing.

Batch export, archiving, capturing of emails as business records, document sharing with non-Notes users – all these tasks can be vastly improved with SWING PDF Converter. It allows companies to:

Convert multiple Notes emails/documents to individual PDF files or a single PDF package

Save file attachments in PDF

Save money on printing: reduce reliance on paper when sharing documents outside of Lotus Notes

Create compact, searchable email archives with a built-in view, all in a single PDF file

The latest version adds the following capabilities:

Export from Notes view to a PDF file while preserving the structure of categories, folders and document levels by using PDF bookmarks as a navigational outline

Export from Notes to the file system with automatic creation of folder structure (corresponding to Notes view or folder structure)

Export of attachments outside of PDF

Support of document links within the resulting PDF

Advanced logging for batch exports

Other improvements

Numerous other conveniences are provided such as meta-data export to PDF, custom headers/footers in PDF, PDF/A support, smart “fit to page” function for adjusting the size of oversize images and tables etc.

SWING PDF Converter does not require client installations as it is not a virtual printer driver. It can be installed as a standard Notes application on a Domino server.

Application developers can use the product’s LotusScript API or Java API by including the product libraries in their Notes/Domino applications. They can choose to run the conversion either on the Notes client or on the Domino server.

Domino web developers may want to automatically produce invoices, purchase orders, certificates, HR forms, and other printable documents – directly from their web applications. They can do that by using familiar Domino Designer for creating a printable document layout. Then, they simply invoke a PDF Converter function to use the newly created layout for PDF rendition.

SWING Software has just released the latest version of SWING PDF Converter – a software tool for Lotus Notes email and document archiving, sharing and web printing. The new version introduces advanced features including PDF/A for email/document archiving; exporting Notes field values to PDF metadata; flexible headers and footers, and improved conversion fidelity.

What does make SWING PDF Converter unique?

First, SWING PDF Converter is created specifically for Lotus Notes documents and emails. This means that Lotus Notes users can convert single or multiple emails/documents, together with file attachments, so all the information including the original layout is preserved. Moreover, users can select any number of documents and create a single PDF file – a searchable package that looks just like a view in Lotus Notes.

Second, SWING PDF Converter does not require client installations as it is not a virtual printer driver. It can be installed as a standard Notes application on a Domino server. Then, administrators can easily deploy PDF smart icons by sending an email to end-users. The key configuration settings are still maintained centrally.

Third, application developers can use the product’s LotusScript API or Java API by including the product libraries into their Notes/Domino applications. They can choose to run the conversion either on the Notes client or on the Domino server.

Finally, the new version introduces advanced features including PDF/A for email/document archiving; exporting Notes field values to PDF metadata; flexible headers and footers; and improved conversion fidelity.

Here are some usage scenarios:

Export from Lotus Notes: Companies use SWING PDF Converter when they want to extract existing content from Lotus Notes databases. PDF is the format of choice for documents and emails, especially when the original Lotus Notes document layout needs to be preserved.

Email archiving: PDF and PDF/A provide long-term retention of emails and documents, independently of email servers and specific platform. These archives can be viewed or printed on any computer by authorized users. Some organizations will be storing the resulting individual PDFs into their content repositories, together with metadata. Others will rather be using the PDF Converter’s ability to convert entire email folders into a compact PDF package – a single file that consists of searchable views, emails and file attachments, to simplify search and retrieval in the future.

Web printing: Domino web developers may want to automatically produce invoices, purchase orders, certificates, HR forms, and other printable documents – directly from their web applications. They can do that by using familiar Domino Designer for creating a printable document layout. Then, they simply invoke a PDF Converter function to use the newly created layout for PDF rendition.

Records management: SWING PDF Converter helps companies incorporate emails and documents from Lotus Notes into their records management system. Once converted to PDF (or PDF/A) together with the corresponding metadata, these files can be classified and handled as records, together with other related content types.

SWING PDF Converter enables Lotus Notes users and application developers to export Lotus Notes documents and emails into standard PDF format for sharing, archiving, or web printing.

July 06, 2009

SWING Software announces today the release of SWING PDF Converter for Lotus Notes – a software tool for Notes email and document archiving, sharing and web printing.

The basic idea behind the product is to make the PDF conversion an integral feature of the Lotus Notes client, or Notes/Domino applications. It doesn’t require a client side installation of a printer driver nor DLL files.

For end-users and administrators: Deployment is as easy as sending an email to users. SWING PDF Converter adds the PDF icon to the Lotus Notes toolbar, which lets users convert one or more Notes documents or emails. The user experience is fully customizable.

For application developers: LotusScript API is provided. Developers can enhance the out-of-the-box toolbar functionality, or can grab the PDF Converter libraries and insert them into any Notes or Domino application, using the PDF Converter as a software component in their solutions.

SWING PDF Converter introduces greatly simplified email archiving (and document archiving) capabilities to Lotus Notes and Domino. It creates PDF Packages from any email or document collection. A single PDF Package consists of any number of documents (or email messages) with their corresponding attachments. It also contains a view, so users can sort, search and navigate through documents/emails with ease – all this inside Adobe Reader.

Lotus Notes users can easily archive all documents and emails related to a project, case, or a customer into a single PDF Package. These PDF archives can be used independently or as a part of a corporate records repository for legal discovery and business uses. Because they are platform independent, they can be viewed or printed on any computer by authorized users.

Developers can also create server-based agents using the LotusScript API. Agents can be scheduled to produce PDF files unattended.

Domino web developers can use SWING PDF Converter to create print-quality output from their web applications.

SWING Integrator 5 lets Lotus developers integrate MS Office Word and Excel, or OpenOffice Write and Calc to their own Lotus Notes solutions.

The new release adds OpenOffice integration with IBM Lotus Notes applications.

November 29, 2006 – SWING Software announces today the release of SWING Integrator 5 – an Office integration toolkit for Lotus Notes and Domino developers. The new release adds OpenOffice integration with IBM Lotus Notes applications.

SWING Integrator 5 lets Lotus developers integrate MS Office Word and Excel, or OpenOffice Write and Calc to their own Lotus Notes solutions. 1,000s of developers have been using SWING Integrator for:

Producing highly formatted documents with Notes data

Carefree in-place editing of attachments (both Notes and Web)

Updating Notes fields from Office documents (Field Exchange)

PDF conversion

Mail merge letters and labels

Reporting, charting and data analysis

Advanced document automation

“We have added OpenOffice support in response to strong market demand,” said David Jakelic, CEO of SWING Software. “Now our customers can choose between MS Office and OpenOffice suites for their Lotus Notes collaborative solutions.”

SWING Integrator does not require separate installation. Developers just plug it into their application, and add a single line of code for initialization.

As a result, users benefit from advanced document authoring, formatting, accurate printing, reporting and data analysis. Developers extend their Lotus solutions by adding new Office templates, or enable users to do so.

SWING Software announced the availability of SWING Integrator 4 – innovative document automation software for Lotus Notes and Domino developers.

June 1, 2004 – SWING Software today announced the availability of SWING Integrator 4 – innovative document automation software for Lotus Notes and Domino developers. SWING Integrator 4 helps developers deliver applications that automatically assemble MS Office and PDF documents, based on user-defined rules.

The new product release takes a step beyond MS Office integration. It brings document automation features for both Lotus Notes and Domino Web applications. The key new features include:

Dynamically assembling Word or PDF documents from existing content and data, based on business rules and predefined templates.

Content library – the central storage for reusable boilerplate text and graphics (e.g. standard clauses, product information, images).

Delivering documents as PDF.

Data transformations. Multivalue fields can be optionally expanded to table rows in Word and Excel, and collapsed when they are saved back to Notes.

Notes data analysis with MS Excel PivotTable reports and charts.

The new features open a wide range of new possibilities for application developers and their users. By utilizing SWING Integrator 4, an organization can automate document production and delivery, from one page letters to complex contracts and proposals, improving both individual and organizational productivity.

Dynamic templates with user-defined rules react to customer data – from a Lotus Notes database, or a relational database – to produce a letter that is specific to that customer and situation.

For instance, if a financial institution writes a letter to a customer, concerning an unauthorized overdraft, the SWING Integrator will assemble a letter in MS Word which incorporates not only customer data and amounts, but also the wording can be automatically adjusted according to whether the overdraft is large or small.

Furthermore, SWING Integrator provides a content library which contains reusable segments of documents that the authors may want to save for use in other documents or share with other authors. The content library serves as a central storage for reusable boilerplate content to maintain consistency and accuracy. Examples include standard clauses, company information, product images. In fact, any combination of text and graphics can be saved and reused. These reusable fragments can either be inserted manually to a Word document or automatically during document assembly.

In this way, a sales team can reduce manual repetitive tasks in creating sales proposals, by using the content library as a searchable knowledge base for RFP questions and answers. Their existing CRM or SFA solution can be extended with the proposal automation module, enabling them to use MS Word with the existing applications.

Finally, SWING Integrator 4 reduces maintenance efforts on changed documents and forms. Office template library gives users complete control of document layout and dynamic content. When it comes to changes in document layout, there is no need for a programmer to intervene. An authorized business user can use the familiar MS Office authoring tools to redesign the structure and style for business documents and reports.

SWING Integrator 4 supports Lotus Notes and Domino versions 5 and 6, and Microsoft Office 97, 2000, XP and 2003. For Domino Web applications, Microsoft Internet Explorer 5 or higher is required.

Pricing and Availability

SWING Integrator 4 is now available directly from SWING Software and their business partners. A 10 users pack costs $750 (USD). There are substantial discounts on volume purchases. An evaluation copy can be requested and downloaded from the company’s website http://www.swingsoftware.com.
