Pareto was an economist who theorized that 80 percent of all problems result from 20 percent of all causes. This may seem like a complex theory which is too difficult to apply to such a thing as time management, but the Pareto 80-20 rule, as it has come to be termed, can be very beneficial when applied to problem solving in any form.

One of the first steps in learning to effectively utilize time is to identify repeated patterns in your daily schedule that may be interfering with productivity.

In looking over daily records of your time you may notice certain blocks of time which are not being used to their fullest. Once having identified these blocks of time, you can begin to make changes in your daily routine.

Pareto’s 80-20 rule basically means that if you can identify and change only 20 percent of the causes of problems in your current time management system, you can subsequently fix 80 percent of those problems.

An example of this would be to identify only two 15 minute blocks of time in your normal day when you find that you are being the least productive. By changing the way you currently use these 2 small blocks of time, theoretically you should be able to increase your productivity by up to 80 percent.

Better time management does not mean giving up all free time, or all the time you currently spend relaxing, or enjoying your life. Instead it helps you set priorities for managing time, eliminate wasted time, and gain more control over how you use this valuable resource.

One popular method of time management that has proven to be effective for many people is the Posec method. Posec stands for “Prioritize by organizing, stream-line, economizing, and contributing.”

To prioritize means to put first things first. The Posec method is loosely based around Laslow’s theories regarding the “Heirarchy of Needs”. It gives the individual a realistic tool for setting priorities as they pertain to ones own unique needs and life goals.

Organizing involves making a plan to work on goals that will help the individual feel more stable and secure. (This is a plan for meeting the individuals most basic needs, including food, clothing, shelter, safety and especially for love and acceptance.)

Stream-lining applies to those “dirty” little jobs that no-one wants to do, but everyone must do, such as work and chores. (This involves managing and maintaining one’s stability and security.)

Economizing refers to things that should be done, or things that are enjoyable, but which also may not be urgently in need of being done. (Lower on the list of priorities.)

Contributing involves social contribution. What you give back to the world (when other goals are met then this becomes more feasible based on Laslows understanding of the human psyche).

The posec method offers clear guidance for assisting an individual in prioritizing goals. Theoretically this method should encourage movement upward on the “hierarchy” charts.

Since Laslows theories are intricately related to this method of time management it is helpful if the individual applying this method is familiar with his research in regards to “the Heirarchy of Needs.”

In a company or business, several projects will arise depending on the needs of the business and current demands of the business. You have to hone your project management skills more if you want to get ahead in the industry. Managing projects better also means that you get to use the right tools and approaches to get both immediate and long term benefits. Here are some tips on how to handle projects in the most convenient way.

Definition of Details

First of all, you have to properly define the scope of the project. Determine if it is a big or small one by assessing how much time and people you need to allocate for completion. What are you supposed to accomplish by managing the project? What are the goals and objectives of the project? Also determine the aspects that are not included in the project. You should write down the limitations, so that you do not waste more time and money on unnecessary details. If you do not have a clear definition, you can talk to your boss and ask about more information.

Determine the available resources for your project management skills. How much money do you need? How many people and who are the best ones to assign for the specific tasks? When assessing self management skills to help COPD patient, you may not be the one directly responsible for getting the resources, but you have to oversee how they are used through matrix management. Some resources will be harder to access than others.

The Time

Determine when the project needs to be finished. When you develop the plan of the project, you have some flexibility. Deadlines are generally fixed, so should you plan to use overtime hours to meet the schedule, you have to check it against the budget limitations. You may risk spending more for working overtime. Some projects will only take hours or days to complete, while others have to go through many weeks. You have to plan the tasks accordingly and set smaller objectives so that you can direct your people along the course.

Setting Goals

When using self management skills to help COPD patient, you have to set the right goals both for yourself and your people. List both the big steps and small steps for the project so you can complete everything in time and in the best quality possible. List the small steps in chronological order and determine the various levels depending on the complexity of the project. Big steps also have to be arranged chronologically at the start, but you have to be open in changing the order over time, depending on the demands of the project.

Dealing with COPD Using Project Management Skills

COPD means chronic obstructive pulmonary disease and requires a treatment plan to effectively eliminate. You should request some adjustments in the project since patients tend to respond differently to treatment. Monitor the patient’s progress and provide the necessary tools and approaches that will provide immediate effects. Make sure you document everything by writing down the details and different possible solutions, should the project change its course. Always inform others, especially the physician about the progress and impending complications.

Project management skills can be learned by both studying and dealing with different real-life situations. Assess how your skills merge with other members of the team and if your decisions are ideal for the improvement of all persons involved.

Administrative management skills are very useful to develop especially if you belong to a very huge company. Since functions and processes tend to vary with multiple systems, you should learn how to take control and have a full view of all situations to get rid of problems and find solutions fast. Only then can you continue operating the company without compromising efficiency and performance. Here are some details on the skills to develop.

Learning the Advantages

Once you develop your management function skills, you will learn how to multi-task better and move from one responsibility to the next. You get to learn better ways and solutions through powerful techniques and approaches that you may not have incorporated before. You can also get other people and subordinates involved so that solutions have a win-win nature. Improving communication skills mean that you can talk to your workers better, thus having more ideas and opinions on how to manage the company better.

Your boss becomes a strategic partner in your endeavors, plus you let employees feel positive about themselves and the company. You also get to understand different styles of people for more effective collaboration and teamwork. Developing administrative management skills can also help you control time and workload better through advanced skills in time-management and people handling.

Communicating Better

Once you develop management function skills, you get to find your place on the management or administrative team. You also empower yourself and other people in the team to grow further. As a change master, you can better deal with the different challenges and situations that the company goes through.

Fine-tuning your team skills help you match business goals with support goals from the administration. Check how your team responds to different situations and challenges. You also get to assess your preference as leader and manager in teams. Map the priorities of the management team for the entire year, so that all personnel involved can effectively communicate and share the same goals and vision.

Solving Conflict

Having a position in the administrative team means that you should have an overview about everything that is going on in the company. The manager has an advantage in foreseeing future problems and should have enough time, people and strategies to get through it effectively. You can use your negotiation and persuasion skills to draw more opportunities for deals and transactions. Negotiation also helps you save more money and takes away the stress and worry when dealing with different personalities.

Credibility Matters in Administrative Management Skills

Having a managerial position means that you should maintain credibility and control at all times. When you have the right management skills, you can clarify the priorities of your colleagues and subordinates. Use tasks maps to manage several loads then use smart charts to plan projects properly.

Having credibility also helps you control your own emotions and eliminate decisions that may be based on personal matters. You can identify the items that waste your time the most and eliminate these accordingly. Try out new tools to effectively meet your management requirements. As you present proposals and plan negotiations, you boost personal impact too. Administrative management skills give you control over operations and the different areas of the company.

Improving management skills can take some time and experience, although there are also a number of individuals who learn quite quickly. You can hone your abilities by joining formal classes or just listening to other experts in the field. Management can effectively be done by both born leaders and normal individuals who want to strive harder to gain control at work.

On Boosting Time Management

Management and leadership skills will eventually lead to more effective time consumption in the workplace. You have to use a calendar to track time and create goals realistically. Choose the one that will make use of your time the best way. Write down all the details and items you want to accomplish then encode everything in your calendar. You should also determine which ones are the small objectives and big goals. Bigger goals will take several days or weeks to finish, while some tasks may only take a few minutes or hours to do.

You can allocate the right persons for the job as well by getting to know your employees and colleagues. You will better save time by assigning people who are truly interested in the tasks. They should also know a few things about the topic to perform better and produce quality results. Time will equate to money so make sure you use it wisely.

On Employee Management Skills

A good leader should strive to maintain good relations with all employees and colleagues in the workplace to produce only the best results. Employee management is highly important so that you maintain honesty and efficiency at work. You have to know the strengths and weaknesses of all your people so you can assign only the best tasks to specific individuals, thereby saving more time and effort in the process. Some effective managers will spend time with their employees even after work is done to get to know their subordinates better.

Improving Management Skills for Change

The market and workplace will change over time, depending on the current demands and situation. It is important that you also innovate and change along with the requests. This will make you a very flexible leader that can stand up to the times and get ready for further challenges. To boost your management skills in this area, update yourself regularly by browsing the web, reading email and joining online discussion boards and forums. You should also stay updated with the news, especially topics that cover your line of work. Take time to talk to other leaders in your field and share information with other managers.

Planning Projects

Product management skills are vital so that you can continue pushing your product and boost sales in the long term. The survivability of your company greatly depends on your ability to generate sales and income. You can accomplish this by knowing your products and comparing these with the best ones available in the market.

Improving management skills also mean staying competitive in both product and service.

Time Management methods most often incorporate some element of the goal setting process, as a key ingredient for overall effective use of time. Whether in the personal or professional realm, goal setting is an important aspect in becoming a productive individual, who effectively manages time.

When speaking of “goals” this term will include any number of specific tasks which need to be completed, from household chores to major business proposals. Tasks to be performed are referred to as either short, medium, or long term goals, depending on the available time the individual has to complete them.

Short term goals may be thought of as daily goals. These often include everyday chores, as well as projects which need to be completed immediately. In effective time management a list of short terms goals is formulated, and each goal on that list is completed, on a daily basis.

Medium term goals are often goals that need to be completed within one week to one month of time. Depending on the amount of time required to complete the goal, a medium term may be broken up into smaller pieces, to be accomplished daily. For instance, a project which will take 6 to 7 hours to complete can be broken into pieces, requiring only 1 hour per day.

Long term goals can reflect major undertakings, such as obtaining a college degree, building a new home, or any number of other such goals. These goals are broken down into daily, weekly, monthly and even yearly goals.

For instance, to obtain a college degree in 4 years the individual will need to research financial options, register for classes, take and pass specific subjects, complete homework assignments etc… Long term goals are best managed when broken down into small sections, each one a step toward completion of the final goal.

There are several kinds of managers, but to truly reap the benefits, you have to understand the basic management skills. You will find that life inside and outside the workplace becomes more fulfilling as you master the different features of your job. You have to consider your innate abilities, talents and potential weaknesses to stay effective and get long term advantages. Control and self-discipline are required in every leader.

About the Manager

The manager is responsible for spearheading projects, as well as maintaining the organizational ground that differentiates management from the total workforce. It is a very vital position that will sustain and introduce effective change in the workplace. Several managers, however, are provided with roles that they are not truly trained and knowledgeable in. Individuals are usually promoted into higher positions without being equipped with the needed skills to lead a team effectively. The company could lose several dollars and important people because of mismanagement.

A lot of good managers are known to already have leadership skills, and need less training and orientation to successfully perform tasks and set goals. You have to be careful not to interchange leadership skills with charisma. Good leaders usually have good anger management skills, which makes them very useful in dealing with all kinds of individuals.

Advantages of the Skills

Getting basic management skills make you more successful inside and outside the workplace. You feel good about dealing with different challenges, both big and small. You get the benefit of being in control of all operations as a manager. You may be under a few other managers in higher positions, but you do not have to worry about doing the hard physical work. You always stay in control even in very difficult periods. You also expect less surprises and problems as you continue operations.

Being a manager means having more time for yourself and to have things done. You are not subject to others giving you your weekly or monthly schedule. You also get the opportunity to plan and think about improvements in yourself and the company. You get to have more quality time with your family and do not have to deal with emergency calls.

Basic Management Skills Benefits

Being a manager makes you more recognizable and respectable in the workplace, since you are responsible for a lot of things. You are the point person in terms of operations, reports and other predicaments that may occur. You also boost your chances of landing higher positions over time, since your face is very common and highly associated with effectiveness and quality performance. You also keep yourself healthy by getting rid of industrial stress and other related illnesses that have a lot to do with working overtime and stress. You can talk to the big persons in the company just in case you need extra help during difficult times.

More Opportunities

As a whole, you improve your personal traits and the way you look at yourself and the world around you. Having basic management skills means having effective anger management skills too. You get to have a more stable personality and avoid conflicts with difficult people. You can actually use your skills to turn challenging situations into good ones, thereby boosting the reputation and opportunities of the company. You end up being the hero most of the time.

Time management skills are defined as a set of tools, practices and principles that work together to guide individuals get more value out of their time to improve the quality of work and performance in the workplace. The approach does not necessarily mean that you can get more work done over a period of time, but you can ensure that you can operate on the right and important things that mean the most to your business. Here are some tips.

Keeping a List

You have to detail the skills required for effective management by keeping a log book or list and a pen. Always write things down, since there are so many things and objectives that need to be done. You have to make a to-do list to avoid forgetting things and take control of all projects. The list will keep you organized and also help you prioritize which items need to be done first and by whom. If you prioritize your to-do list, you can focus more on the items that can really help your business. Rate the tasks by number or letters.

Planning and Preparation

Once you have written down all the goals, tasks and objectives, assign the right time of the week or month to do these. Spend several minutes at the beginning of each week and month to plan your schedule. There are also special software in your computer, applications in your cellular phone or PDA or a notebook that will help you list down everything according to schedule. Take more time to map out all the goals to boost productivity. Keep in mind that some projects will take longer to finish compared to others so you should allocate more days or weeks to complete these. Always set a realistic timeline to maintain the quality of the work and meet deadlines.

On Priorities and Time Management Skills

If you detail the skills required for effective management, you will discover that good managers and leaders know how to decline from further tasks that will hinder their chances of completing prior goals. You have to consider other aspects that can affect the end result of the tasks, such as forces of nature, accidents and other unforeseen circumstances. Think before accepting any more tasks and do not immediately commit to impress or you might end up cramming and delivering poorly made work.

Making the System

Every good manager should have already developed their own style of time management to successfully finish tasks according to time and in the best manner possible, without disturbing their own leisure period. You have to make an integrated system that holds all the practices well together. Continue to improve your system and techniques. Some of the tasks you get in the future may be easier for you to finish because of experience and expertise so you can prioritize big projects at a later date, considering that you can finish these more quickly.

Effective time management skills also take into consideration human errors, so avoid being a perfectionist all the time. Learn how to identify some of the bad habits you have that may affect productivity in the workplace. You should also refrain from helping other individuals do jobs that they are supposed to finish on their own. Choose the right people for the job and you will find that time is not always a detrimental factor.

A lot of people say that leaders are born, not made. However, business management skills can only be acquired through proper education and personal experience. You will find that even the most diligent scholars still have to learn a lot after graduating their respective courses. There are so many things included in running a business, which requires entrepreneurs and business owners to constantly innovate to stay competitive for long.

On Business Management Skills

There are several courses in college and post-graduate degrees that help individuals become better and more equipped in handling and managing a business such as business management, finance, accounting and entrepreneurship. Each of these courses targets a specific area of business to help you cope with the different requirements and challenges. In most cases, individuals can only study so much, so they can handle one part of the operations and hire other professionals to take care of the other aspects.

Business management skills also get better over time and after a lot of experience, since you will be dealing with different situations, clients and competitors. You will learn more as you grow older in the industry and discover the different strategies that successful companies employ. Business management has a lot to do with proper use of time, employee and inventory control and getting more reliable resources.

Leaders Against Managers

Management skills vs. leadership skills are a common scenario, especially if you want to run your business in the most efficient manner. It is always advantageous to have leadership skills when running your own company, since you will be leading other individuals in the company, setting tasks and goals and managing time in the most useful way. Leaders can be very good managers, but managers may not always be born leaders.

It takes education and time to hone managers to the proper level. In most companies, you will have to undergo exams to determine if you have the right leadership skills. If you get accepted, you will be provided with more seminars and courses to direct your management skills according to the current needs of the company that you will be running.

More Management

Management is more specific in the sense that there are different variations of the position, such as human resource managers, financial managers, etc. Managers who move up the corporate ladder also start to broaden their coverage, thus gaining the title of general manager, regional sales manager and the like. The tasks become bigger and their level of expertise will help set the bar for all employees under them as well. Management skills vs. leadership skills should not always be the issue, since you will need both to run operations in the best means possible.

Where Do You Start?

Consider your strengths and weaknesses then assess your business management skills by taking special exams online. You will learn which areas you still need to work on and take up the necessary courses and classes needed to become equipped in that subject. Leadership skills can also be learned over time as you deal with other individuals and establish a sense of direction and responsibility over different tasks and procedures. You should also take time to talk to effective leaders in the industry to adapt some of their positive characteristics.
