So far, we’ve talked about 5 of the 7 Habits we can cultivate in our lives to be more effective Worship Leaders.
Today, we’ll finish our conversation with the final two habits, which have to do music charts & what we say on stage.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #6 - Write Smart Music ChartsClick To Tweet

6. Write Smart Music Charts

This is easily the most practical habit on this list, but I believe that you get this one right, you won’t just be more effective, you’ll add HOURS to your month. I know that sounds like a bit much, but hear me out and see how you can turn this usually tedious task into a simple, repeatable action.

Part of what we do as Worship Leaders is to help supply our team with the plan for what we’re going to do when we gather, which includes the music charts. Whether you create your own or buy them online, it can be a real cumbersome process. Plus, if you write a chart in word or another word processor and then upload it to a service like Planning Center Services, you’ve got to write a whole new chart if you want to change keys. This is completely ineffective and can take up SO much time.

The truth is that we’re not going to stop writing/procuring music charts for our team. Even if they learn all of our songs by heart, we’re going to have new songs that come along and new arrangements, which means new charts. Since this isn’t going to go away for us, and we likely don’t want to spend all that money on charts that don’t even follow our specific arrangement, we have to find a way to write smarter music charts.

So what do I mean by Smart Music Charts? Specifically, writing a smart music chart means that I write it once, have it magically in every key, and can easily manipulate it for a new arrangement. But how can we do this? Enter Planning Center Services’ Chords & Lyrics editor.

I wrote an entire eBook on writing your charts in Planning Center, but I’ll give you some bullet points here. By using Services’ built in Chords & Lyrics editor, we can write a chart using the ChordPro language, and have the chart available, instantly, in every key. You can also add some HTML elements to the page for direction within the song and can use some notation for charting instrumental sections with tricky chord changes.

For my process, I write the chart in ChordPro in TextEdit on my Mac and save the chart there (old habits). I write out every section of the song so it’s clear how this arrangement will go and your team can follow the chart top to bottom. Then, I copy & paste the chart into the Chord & Lyrics editor, do some simple formatting to make sure it looks right, and I’m done! It takes about the same time it would take me to write a normal chart, but now I’ve essentially created 12 charts in the time I had previously done 1.

This is especially helpful when you need to be flexible with your team. Need a chart relative to Capo 5 for your Acoustic player? Two clicks and done. Want a lyrics-only sheet for Vocalists? One click and done. You can also change keys on the fly and have your chart move with you. No extra time added to your week and no extra headaches when your Vocalist feels more comfortable in Bb than in B (been there).

I highly suggest you check out this FREE eBook by signing up for the cdenning.com Newsletter. Just sign up and you’ll get the link right in your email. And don’t worry, I promise to only add value to your inbox and never spam. This one habit can add hours to our month and will help us to be efficient and effective with our music charts.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #7 - Plan What You're Going to SayClick To Tweet

7. Plan What You’re Going to Say

Lets do some math. In a given 75 minute gathering, how much time is the message? Maybe 35-40 minutes, something like that? And how much time do you think your pastor spends preparing that message? Most of the pastors I know spend somewhere between 15 and 20 HOURS crafting their messages. That is some serious time put into preparation of what they are going to say.

Well, how much of that time is music? Maybe 25-35 minutes, depending on how many songs, right? And how much time do we spend preparing what we’re going to say? Not sing, but say. Yea . . . ouch.

I’m not trying to make a direct connection, because we spend the majority of our time on stage singing rather than being a straight forward orator. But I do believe that more often than not, our default is to just speak in the moment. While this isn’t bad, I would argue that it definitely isn’t always best.

Sure, with time, experience, & a sensitivity to the Holy Spirit, this kind of speaking in the moment can be very powerful. However, I would argue that most people end up saying something confusing, incorrect, or even heretical. I’m not over exaggerating. Listen back to recordings of yourself or your Worship Leaders when they speak in the moment. You’ll be surprised how often it seems good but doesn’t really make sense.

What I’m suggesting is that we take the time to plan out what we’re going to say in specific moment of our gatherings. Some of us will need to script every word. Others will be effective with a general outline. The essential point is to be prepared to lead in that moment. We prepare well so we can lead well.

For myself, I tend to use a main idea or crafted phrase I want to use coupled with some scripture. I like to memorize the scripture verbatim, and typically have it on the screen in the room as well. If you do this kind of thing in the moment, you can’t have this kind of assistance to support the message you’re trying to convey in the moment.

*One last thing I’ll say about this is that our job is to find a balance between being a “Song Singer”* and a “2nd Teaching Pastor.”* We don’t need to get on stage every week, sing the songs and get off stage. We also don’t need to get on stage and end up preaching another mini-message every week. Our goal is to find the balance, somewhere in the middle, where we can best serve the moment in the gathering.*

When we take the time to plan what we’re going to say, we will be even more effective on stage as Worship Leaders, and we will serve our congregations even better.

So far, we’ve talked about 3 of the 7 Habits we can cultivate in our lives to be more effective Worship Leaders. This includes Reading Your Bible, Planning Ahead & Staying Ahead, & Continue Getting to Know Your Team.

Today, we’ll continue with the next two habits, which have to do with prayer & creating systems.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | # 4 - Pray for Your Church & Your TeamClick To Tweet

4. Pray for Your Church & Your Team

Another way we can be an effective Worship Leader is by being a better leader off stage, away from any attention or acknowledgement. There’s nothing wrong with being recognized or for leading from a platform, but I believe that the leaders of the Church are called to do some really important work in the quiet places when we’re hidden away from everyone else through prayer.

This first assumes that you’re praying regularly, like outside of meals and as you’re falling asleep. Again, I’m preaching to myself on this one, and I’ll tell you in a minute how I’m starting to overcome this weakness in my own walk. While there is a lot we should be praying for, I believe we should be intentionally and regularly praying for our church (‘lil “c”) and our team.

Yep, we should be praying for the Big “C” Church, absolutely. However, there are few people that know the needs, struggles, desires, hopes, dreams, & hurts of a church like it’s church staff, including Worship Leaders. We know how we can be praying for this specific group of believers, and we should take this responsibility as a privilege.

We should also be praying for our teams. This kinda ties in with #3, but we should know our team members so well that you know at least one or two things you could be praying about for them. Take it a step further, being aware of these kinds of things in your team’s lives will help you to be an incredibly effective leader. You ever have someone remember to text your right before a big meeting or doctor’s appointment because they were praying for you? Multiply that across your team and watch what happens.

Prayer is a real & practical tool, and prayer takes our faith and produces supernatural results. That’s incredible. Don’t believe me? Give it a shot, like a real, honest shot for like a month. Pray consistently towards the things that are in God’s heart, that a whispered to you by the Holy Spirit, and see what happens.

On the practical side, I would suggest finding a place where you can keep a list of everything you’re praying for when it comes to your church and team. I recently found an app I’m loving called Echo (APPLE, ANDROID), which is a free prayer app that helps me create lists to keep track of and even helps me work through them all. I pray the same thing for our church every time I pray, using some scripture, and the same thing for my team as well as any specific prayer requests that come up.

Be intentional with how you pray for your church and your team and see how your effectiveness will skyrocket.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #5 - Learn to Build Sustainable SystemsClick To Tweet

5. Learn to Build Sustainable Systems

Systems and effectiveness of any kind go hand-in-hand. To go a step further, I believe that a healthy ministry is a ministry that is supported by great, invisible systems. Honestly, I can’t believe that there isn’t a Systems 101 class in every seminary in America, but that’s for another post.

If we want to be effective Worship Leaders, we need to have some intentional systems built into our ministry to support what we’re doing to do. Also, note that I said SUSTAINABLE systems. If a system is burning you out, it doesn’t matter how effective it makes because you will be useless after a burn out.

A system is essentially a process or method. Lots of small things working together to help produce something or keep a process going. For example, whether you know it or not, you have a system for auditions. How do people sign up to audition? What do they do after that? What happens before they audition? After? All of these steps make up your system for auditions.

Take a breath. This might seem really overwhelming and intimidating, but remember how you eat an elephant? One bite at a time. The same is true with developing a great system. You start with your desired result, and then work step by step backwards from there.

From there, you can build a simple system that you can repeat (i.e. sustainable) to achieve that desired result every time. Each step should be simple, logical, & understandable. If there are more than one actions in a given step in the process, then break it down even further. The more simple the action or decision, the more likely you’re system will be effective.

For instance, lets look at my system for scheduling our volunteers. What’s the desired result? A full schedule where everyone is involved as their schedule allows. Ok, so how do I know people’s schedule & how it matches up with our needs? I ask them. That’s kinda as basic as it gets, but here’s what the system looks like:

Send Availability Email to Team With Open Dates for Next Two Months.

Record Team Member Availability in Excel Spreadsheet.

Place Team Member in Open Positions in Schedule on Same Spreadsheet.

Input schedule into Planning Center & send out final Scheduling Request email.

After 5 simple steps, I’ve got our schedule set for 2 months. This maybe takes me less than 45 minutes because there is a simple system in place to help make scheduling as easy as possible. Take a look at your ministry and brainstorm all of the places you have processes and then evaluate them. The time you spend doing this will be worth it. The better we get at creating these simple systems, the more effective we’ll be as Worship Leaders.

In the last post, we set up this conversation we’re having about how to be truly effective Worship Leaders and these 7 Habits we can cultivate in our lives to be that kind of leaders. We introduced the first habit, which is Reading Your Bible.

Today, we’ll continue with the next two habits, which have to do with planning & how we view & treat our teams.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #2 - Plan Ahead & Stay AheadClick To Tweet

2. Plan Ahead & Stay Ahead

I’m a big fan of the saying, “If you fail to plan, you plan to fail.” I feel like a football coach just writing that, but that quote couldn’t be more true.

I’d dare say that 90% of us are in ministry settings where we’re working with teams that are made up of volunteers. These volunteers are Wives & Husbands, Moms & Dads, Employees, Family Members, I mean, [Insert Anything Here]. That means that while they may be committed to being a part of our team, it isn’t the ONLY thing that they are doing in their lives.

With that in mind, part of our responsibility as Worship Leaders is to plan ahead and stay ahead. This includes scheduling people, creating set lists, providing content (Charts & Music), and even setting up your physical space.

Not only will this help us to be more effective, but it will help our teams to be more effective. If you give volunteers a few extra weeks to learn a new song or to be aware of a set that is coming up, watch how they flourish as you teach them how to practice at home & rehearse when you’re all together.

Personally, I schedule my volunteers 2 months at a time and then I plan 2 months of gatherings with all the music & content they need for those gatherings. Some of you might have just thrown up, but it’s going to be ok. That might not work for you, but I’ll tell you that it helps my team serve like never before and actually be able to worship when they lead our church.

Find the right balance for your team, and then be consistent. We’ll talk about systems in a little bit, but the better you are at planning ahead and staying ahead, the more effective both you and your team will be.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #3 - Continue to Get to Know Your TeamClick To Tweet

3. Continue to Get to Know Your Team

Most of us have a plan or a process for how you bring people onto your team that includes some getting to know you stuff. Maybe coffee or lunch after church on Sunday or something, just time for you guys to get to know each other. Why? Because it is important for you to know those that you’re going to be leading and serving.

However, I think if we’re honest, we’re not all really great at keeping that relationship building going after that initial on-boarding. Sure, we talk at rehearsal or when we need something from them, but we don’t always do a great job at keeping that conversation going.

We might really get to know some of the team members, like the ones we really get along with, but part of our responsibility of leading our teams involves us being life-on-life with these people. Who are they? What do they love? What are they going through? How can you be praying for them?

My advice: Be intentional about getting to know them on an ongoing basis. Get together with no ministry agenda or prepared outcome, just get to know them. Ask more questions about them than cool things you talk about yourself. Take the time to invest in your team members and to truly care about them.

One caveat is to do this appropriately. Be wise about setting up one-on-one time with team members of the opposite gender. Maybe get a few people together at once to hang, or hang out with your spouses as well. “They are a woman” is a really bad reason to give up on finding a way to appropriately get to know and care for a team member.

Be wise and be intentional, because the closer our relationships are with our team members, the more effective we’ll be in leading them and leading our churches.

This post is part of a series on the 7 Habits of Highly Effective Worship Leaders.

Yea, I know it’s a catchy title. And yea, I know this has got to have been talked about before, but I thought it would be a good exercise for us to try here.

I think that anyone who wants to be a Worship Leader wants to be effective. However, I believe that an “effective” Worship Leader is pretty subjective. Meaning, I think one thing, and you likely think another.

Lets say a Worship Leader is a great leader from stage, incredible talent and sensitive to the Holy Spirit, but is real crummy at leading people off stage. Are they effective? What about someone who is 15 steps ahead of everyone else and prays for their team constantly, but can drop the ball when they get in front of their church family? See what I mean?

Lets start by building an understanding of what we mean by an “effective” Worship Leader. I’ve written here before on a great definition of what a Worship Leader is from one of my favorite thinkers on the subject, Bob Kauflin, but lets get even more basic than that.

I believe that an effective Worship Leader is one that is able to get desired results in their areas of responsibility, while being led by the Holy Spirit. It’s not enough for us to be musically effective; we must be spiritually effective, relationally effective, personally effective, and even organizationally effective.

This might seem intimidating or even an unreachable goal, but there are 2 things to remember: First, the goal isn’t perfection, just growth. Second, don’t forget the 2nd part of the working definition above: “. . . while being led by the Holy Spirit.”

Our job is to be obedient, to take the next right step, and to do well with what God puts in front of us. That’ll preach for anyone, not just Worship Leaders.

With all that said, here’s a (non-exhaustive nor conclusive) list of 7 habits that, if practiced on a regular basis, will help us to become even more effective Worship Leaders. Lets dive in.

SHARE THIS: 7 Habits of Highly Effective #WorshipLeaders | #1 - Read Your BibleClick To Tweet

1. Read Your Bible

Duh. I feel like I talk about this all the time here, but I don’t think this song is ever gonna get old. If we’re not reading our Bibles, then we’re really missing the boat on being in an effective place to lead other and lead worship. I’m also on the team that has trouble with doing this regularly because I get distracted, so I get it.

To keep it practical, I think there are two kinds of Bible reading we should be doing on a regular basis. First, we should be reading through the whole Bible on the regular. Not getting through the whole thing in a month, or maybe not even a year, but that we’re working our way through ALL of the Bible. Yup, Leviticus & Amos included. Having a full Biblical diet will help inform our leadership even more.

Second, we should be doing a deeper, more focused/intentional Bible study. While the first kind is intended to keep the Word fresh in our minds, this kind of Bible study is meant for us to grow in our knowledge and understanding of the Bible in a deeper way. Pick a topic, a word, a person, a theme, anything really, and learn how to dive deep into studying the Bible.

Want a place to start? Look at the postures of Worship throughout Psalms. Just read through the whole book over time, write down all of the postures that are mentioned, and learn more about why they are used. This kind of study will help us to be incredible effective as we lead our teams and churches.

We’ve all had that awkward moment. That moment where you know you’ve put in the work, you prepared yourself and your team well, you were prayed up and the Holy Spirit moved in your time together as a church, and you walk off the stage. Then, someone walks up to you and says, “Great worship, man,” or “I really liked that,” referring to the worship they just experienced.

While these people (and there are likely people like this on our teams) are well-meaning and simply want to encourage us, this is a dangerous thing to encourage or cultivate in our church families.

While part of what we do on stage is something excellent, we understand the direction and intent of our efforts. However, lots of people don’t quite understand what we’re trying to do and react in a way that’s familiar and comfortable, rather than seeing the gathering through the same lens we do.

In his book Transforming Discipleship, Greg Ogden has an interesting thought that I believe applies directly to this perspective many in our churches have:

“Worshipers see it as the responsibility of those on stage to provide an engaging, meaningful and entertaining show, while it is the worshipers’ job to give an instant review of the worship service as they pass through the receiving line after worship. Doesn’t it seem odd for people to make evaluative comments like “Good sermon, Pastor,” or “I enjoyed the service this morning” about the worship of the living God? On many a Sunday after concluding the morning message, when I glanced in the direction of the choir I expected to see them raise cards from their laps rating the sermon–9.9, 9.4, and so on.”

– Greg Ogden, Transforming Discipleship, pp.25

He’s not wrong. I think the average person DOES view the gathering as “an engaging, meaningful, and entertaining show.” Why? Because they are conditioned to.

SHARE THIS: How can we help people move from being Spectators to Participants in Worship?Click To Tweet

Everywhere else they go in the world, great music, great production, & the presence of a stage/platform (call it what you want), puts them in Performance Mode. In Performance Mode, most people sit back, take in what is happening in front of them, then talk about what they liked about it. Maybe they sing along or pay close attention, but they are definitely more spectators than participants.

Like I said, people come into our churches conditioned to walk in, sit down, and be good spectators, to no fault of their own. Getting mad at people who are like this is like getting mad at a child for wanting to play during nap time. For them, playing around was perfectly ok a few minutes ago. They don’t know any better.

However, when we look in the Bible, especially in the context of worship, we NEVER see God’s people as spectators. Maybe people from the outside watching and wondering “what’s that about,” but people who were involved in the worship are almost always full-on participants.

If our people come on Sundays not knowing any better, then it’s our responsibility to show them a better way. Yes, we have social conventions, conditioned responses & even engrained perspectives going against us, but we must help our church move from spectators to participants.

Do note that the reason we need to do this IS NOT to have people “more into” the worship, IS NOT to create an atmosphere we desire, and IS NOT to massage and build up our own or our team’s ego. No, the reason we HAVE to help teach our churches this is because the worship of God is not meant to be a spectator sport.

While the worship of the gathered Church is the desire of God’s heart, our personal, individual response is what makes up the worship of the gathered Church. God desires our personal, individual response to who He is, what He’s done, and what He’s going to do. That’s why we have to lead our church

Here’s a few ways that we can help our church move from spectators to participants:

Show & Teach

This is the most direct & obvious thing to do. We first have to show our church what a personal, individual response to God looks like, and that starts with our music teams. At our church, I don’t just train up the singers like this, but rather the entire team because we’re ALL Worship Leaders. Seeing others responding to God will help to remind those gathered that this simply isn’t a concert or performance, but rather a collective response to God.

We also should teach directly about this. I don’t mean that we need a 4-week series on worship, but I also don’t think that’s a bad idea! Since we probably won’t be able to do that very often, I believe that it’s helpful for Worship Leaders to teach during a music set on occasion.

We call them “Spiritual Direction” moments at our church, and they are short & direct times for Worship Leaders to speak into a moment. The key here is direct, brief, with clear direction leading out of it. Use this time to lean into the importance of the personal response to God, we can all use a helpful reminder from time to time.

Gently Correct

Emphasis on “gently.” No one likes a grumpy Worship Leader.

This is especially important when you are talking with someone one-on-one. Like when you’re talking to someone casually, DON’T use that opportunity to slam that person’s perspective of worship.

You can easily use your own words to be gracious while gently correcting their perspective. Always thank them for their intention to honor you and your team, but take the time to ask them a question about their experience. Get them thinking about WHY they enjoyed their time.

Also, you can police yourself and try to speak intentionally about worship. Don’t use “worship” generally to describe too much (as a blanket term), and use language that is inclusive (us, we, etc) rather than making the band out to be a marvel on stage.

Don’t Just Use the Hammer

No matter what we’re doing, we need to use the right tool for the job. From stage, maybe the hammer isn’t always the best option. Don’t always come down hard on your church family when teaching about this.

Moving from spectating to participating is a long, slow shift that happens in your church culture, so learn how to use other tools in your Worship Leader toolbox to change & shift their perspective. This includes how your team LOOKS on stage, what you say in the short moments in a song, what your team does off the stage, and so much more.

Think outside the box and learn how to use other opportunities to speak into your church family, rather than only hitting them on the head from stage. While the hammer can be effective and helpful, it can do more harm than good when you’ve got a box of screws.

BONUS: Take the Compliment

The last thing is just for you. When you inevitably have someone walk up to you after a gathering and spend a moment telling you how great you were and how awesome the gathering was, use this simple trick: Take the compliment.

Yes, you are doing this for Jesus, not them. Yes, you want to give God all the glory. Yes, I get it. However, what’s likely happening here is more a product of someone having an experience and not knowing how to process it.

When someone does this to you, first listen to them. Don’t cut them off. Then, THANK THEM for their kindness for telling you. Finally, especially if you don’t know them, try to learn more about them. Care about the person more than the moment. That’s showing Jesus to someone first hand.

Taking a compliment in any context can be hard for people, especially anyone artistic. Doing this here will help the person complimenting feel connected to you and your team, and you can use this opportunity to build the relationship. You don’t have to immediately correct them to help them see the glory of God, we can do that in many, many ways.

This is gonna be a short post, mostly because I don’t have much to say on the subject (which is rare). This might be a post you share with your team as a way of checking up on them, or maybe this post is for you. This just has been weighing heavy on my heart recently for Worship Leaders.

I’ve seen way too many people called by God to be Worship Leaders waste their calling and integrity by simply hiding their sin.

The goal of a Worship Leader is NOT to be perfect, but rather to be faithful to the calling God has placed on their life. Yes, be a great spouse, a great parent, all that, but also be human. This includes confessing your sin and working through it in community.

SHARE THIS: What happens when #WorshipLeaders hide sin?Click To Tweet

How do you combat quiet or secret sin in your life? Talk to someone.

Seriously, I’m begging you, just TALK to someone.

When you’re struggling with something, anything, talk to someone. Whether temptation or regret for current sin, just talk to someone. Don’t wait. Remember: Human not perfection.

Speaking from experience, I know that the fear of being exposed is a cruel master that never brings relief. Don’t be fooled into thinking that hiding something will make it better. The thing about sin is that it grows in isolation, and it’s destroyed when exposed to His light.

James 5:16 says, “Confess your sins to each other and pray for each other so that you may be HEALED.” The purpose of confession is HEALING. Don’t wait.

If you go to your Pastor, Worship Pastor, or just someone you trust, you can walk through anything together. I would almost guarantee that the leaders in your life would give anything to walk through something like this with you, rather than have to response to the aftermath.

Sure, you might not be leading worship for a time, but that’s better than RUINING YOUR LIFE. Far better.

“So that you may be HEALED.”

Isn’t it time to experience that healing rather than the heavy weight of guilt?

Talk to someone. Don’t wait. Be healed. In Jesus name.

5 Questions

(All Emphasis from Chris)

1) How did you learn to/get into leading worship (mentor, school, etc)?

I grew up in a great church with a strong worship emphasis. After finishing my music degree and traveling in a Christian band for 4 years to over 30 countries, my home church asked me to come home and be the Music Pastor.

2) What is the most helpful habit you have developed as a Worship Leader?

My best daily habit is waking up early and spending time with God reading my Bible and praying. I wouldn’t have survived in ministry all these years without that foundation.

My best daily habit is waking up early and spending time with God reading my Bible and praying. - Mark ColeClick To Tweet

3) What has helped you develop as a Worship Leader?

– Growing up in a great worshiping church.
– Growing comfortable with playing and singing in front of congregations.
– Getting my Bachelor of Music degree.
– Regularly watching and working with other strong worship leaders.
– Leading worship 3-5 times a week.

4) What’s one thing you wish you would have known 10 years ago?

That’s a tough question. At this point in my journey, I wish I already had my Master’s degree, so I guess I wish I had known the importance of getting that degree. But having said that, the opportunity is just opening up now for me to start that. So, I believe that God has His own unique timing for every person.

5) If you could only give one piece of advice to a growing Worship Leader, what would it be?

Get all the training, education and experience that you can so you can be highly effective and fruitful all the days of your life.

I love how Mark says so much with such brevity. I think we all need to be reminded of the high importance of our own relationships with Jesus, and Mark’s encouragement to get up early and do that first thing is a great encouragement.

I’m also a fan of how much Mark appreciates and promotes education. Whether you’re doing it through a traditional university or seminary, or maybe through other means like worship schools, conferences, or even really good books, improving your education will always be a good idea.

If you want to hear more from Mark, then one thing you DEFINITELY need to know about is Mark’s great book, Following God: Notes from a Grand Adventure. Part memoir, part Worship Leader handbook, this is something that would be a great addition to any Worship Leader’s library! Check it out HERE!
