As 2025 comes to an end, we want to take a moment to say thank you to all our customers, partners, and friends for an amazing year. Merry Christmas and a Happy New Year! We'll be back in full force on January 7, 2026.

This year was truly special - not only because we made projects happen, but because we continued to expand our work in Artificial Intelligence. We delivered solutions, hosted workshops, and built apps with agents and modern and secure web technologies that help businesses work smarter and faster. From Copilot integrations to custom AI workflows, 2025 was the year we turned ideas into reality.

And yes, we learned that AI can’t wrap Christmas presents (yet), but it sure can help write the greeting card.
May your algorithms be merry and bright!

In the spirit of giving and doing good, we are once again foregoing Christmas presents and instead donating to two meaningful causes that are close to our hearts: supporting homeless individuals and protecting our environment.

atwork will be closed from December 24th, 2025 to January 6th, 2026. But don't worry, our on-call duty and support team will still be around to save the day if you need us. We'll be back in full force on January 7, 2026, ready to tackle new adventures with you.

Von Copilot-Integrationen bis hin zu individuellen KI-Workflows war 2025 das Jahr, in dem wir Ideen in die Realität umgesetzt haben.

Und ja, wir haben gelernt, dass KI (noch) keine Weihnachtsgeschenke einpacken kann - aber sie kann definitiv beim Schreiben der Grußkarte helfen.

Last week, we welcomed around 50 AI enthusiasts at Microsoft Österreich for AI Community Day Vienna for an afternoon of exploring the latest Microsoft AI innovations, real-world use cases, networking, and inspiring discussions.

The Global AI Community is a worldwide network of AI enthusiasts, professionals, and organizations dedicated to sharing knowledge, learning, and building innovative solutions. Through local chapters and global events, it connects people passionate about artificial intelligence, offering opportunities for collaboration, education, and growth. Upgrade to Delegate365 v10 - The Future of Microsoft 365 Delegated Management

We are thrilled to announce Delegate365 version 10, the most advanced release of our SaaS solution for delegated Microsoft 365 management. Delegate365 version 9 has reached its end of life and will no longer receive updates.

Update: All Delegate365 environments were scheduled to be updated to version 10 by December 14th, 2025. This date has now passed, and any environment still running an older version is no longer supported.

If your environment has not yet been upgraded, please schedule an appointment with us as soon as possible to complete the update. This ensures continued support and access to the latest features and security improvements.

After the upgrade, administrators must complete a short Delegate365 setup to ensure that users can continue using the service without interruption.

After more than a decade of continuous innovation, this new version delivers a complete rebuild focused on speed, additional features and flexibility. Designed to empower IT teams and delegated administrators, Delegate365 v10 provides simple, powerful, and intuitive Microsoft 365 management services. With this major upgrade, we’ve streamlined the experience to make the transition as smooth as possible.

Delegate365 Upgrade Timeline

All Delegate365 environments still running version 9 will be updated to version 10 by end of December 2025 at the latest. Customers can check their current version in the footer of the Delegate365 web portal (Version 9.7 vs. Version 10.x).

We provide two options for upgrading to Delegate365 v10:

Schedule your upgrade: Contact us to arrange a convenient date for the update and ensure a smooth transition.
Automatic upgrade: If no date is scheduled, your service will be automatically updated by the end of November 2025.

In both cases, after the upgrade, administrators will receive an email with instructions to complete a quick setup. This step is required before the service becomes available to your users again.

How to complete the Delegate365 v10 Upgrade

After the upgrade: Like in the email instructions, please follow these steps to complete the Delegate365 setup:

Open the Setup Link: After receiving the update email from servicemail with the subject “Run Delegate365 setup”, open the provided setup URL in an InPrivate/Incognito browser window.
Sign In: Log in using a Global Administrator account from your Microsoft 365 tenant.
Start the Setup: Click Run Setup to begin the process.
Complete and Redirect: The setup typically takes about 2 minutes. Once finished, you will be redirected to the new Delegate365 portal. At this point, administrators and users can continue using Delegate365 as before.

Delegate365-Extended Extensibility

Delegate365 now supports enhanced Extensibility through integration with Azure Event Grid, enabling real-time notifications when specific actions occur within the system. This allows external systems to react to events in Delegate365, opening up new automation and integration scenarios.

External systems can include ticketing platforms, monitoring tools, and custom workflows, enabling organizations to automate responses to changes within their Microsoft 365 environment. For instance, when a new user is created, they can automatically be added to a specific team based on their domain or OU, or when a new team is created, a designated administrator can be notified. This functionality requires only an Azure subscription and the provisioning of an Azure Event Grid resource.

Required: Azure Event Grid: Azure Event Grid is a fully managed, scalable publish-subscribe service that enables event-based communication between applications and services using HTTP and MQTT protocols. It allows systems to react to events in real time by delivering notifications to subscribers, supporting both push and pull delivery models and integrating seamlessly with serverless architectures. Find out more at Introduction to Azure Event Grid.
Configure an Azure Event Grid: Follow the steps at Create an Azure Event Grid topic or a domain.
Configure Extensibility: In module Administration / Extensibility, administrators can configure the connection to the Azure Event Grid and which notifications are enabled or disabled for each resource type and specific action. Add your connection data here and click Save.
Enable notifications for actions: Delegate365 Sync, Users, SharePoint sites, …

…and Teams and groups, Mailboxes, and Devices.

This allows organizations to notify and to automate responses to changes in their Microsoft 365 environment.
Notifications control: When actions happen in Delegate365, and the configuration is set, the resource is sent to the Azure Event Grid. This can be controlled in the Azure portal, as here.
Message content: The messages sent from Delegate365 always include the Resource Id, Resource name, the Organizational Unit (OU), and the OU Id in the data property. Property type identfies the action. Additional properties can be available, depending on the action. Here´s a sample message from the eventgrid queue:

Further processing: Messages can be further processed by external systems such as Azure Logic Apps, Power Automate flows, or custom code solutions, enabling advanced automation and integration scenarios.

With Delegate365 Extensibility, administrators can selectively enable or disable notifications based on resource type and specific actions.

This feature supports seamless integration with external systems such as ticketing platforms, monitoring tools, and custom workflows, making Delegate365 a more connected and responsive solution for organizations aiming to automate and streamline their IT operations.

Delegate365-September Update: New Feature-Message Quarantine

We’re pleased to introduce a powerful new feature in Delegate365 v10 that significantly extends the platform’s capabilities: Message Quarantine. This feature brings advanced security controls to Delegate365, enabling administrators to manage quarantined messages with greater precision and oversight.

Message Quarantine: Delegate365 now includes a Message Quarantine feature that allows administrators to view and manage quarantined messages for users within their assigned Organizational Units (OUs). This functionality, typically reserved for Exchange administrators, is now available directly in Delegate365 with fine-grained access control.
Message Quarantine permission: To use these features, open the Policies / Permission Policies settings in the Mailboxes section. and enable the settings Shared mailbox quarantine messages. Set this permission to Write. Admins can then define whether the options to release high-confidence quarantined messages and to delete quarantined messages should be available to other administrators, as shown here.
Message Quarantine feature: In module Users, open a user. In the user panel, open Mailboxes and find the new section Quarantine messages at the end.
Message Quarantine functionality: View quarantined messages for all users an admin can manage, and release or delete messages directly from the quarantine interface. Admins can search for a specific message, and naviagte trough the quarantined messages.

Depening on the permissions, and the classification (separate access for high-priority and standard messages as mentioned above), they can perform these actions:

Release: Delivers the selected quarantined message to the intended recipient’s inbox.
Release to all: Delivers the message to all recipients if it was sent to multiple users.
Delete: Permanently removes the quarantined message without delivering it to any recipient.
Selecting Release prompts a security verification to confirm the action:

Forwarding included: Admins can release messages based on the original recipient’s mailbox, even if forwarding is configured.

This feature integrates seamlessly with the existing OU-based delegation model, empowering delegated administrators to securely manage quarantined messages without requiring global admin rights.

Unleashing Intelligence: GPT-5 Now Live in Copilot Studio

Starting today, Microsoft Copilot Studio users can harness the power of GPT-5, the most advanced generative AI model from OpenAI, to build smarter, faster, and more capable custom copilots. This release marks a major milestone in enterprise AI, bringing enhanced reasoning, dynamic orchestration, and real-time model routing directly into the hands of developers and organizations.

Users can now integrate OpenAI’s most advanced generative model GPT-5 into their custom agents. The model can be selected in agents´s Settings.

Smarter Agents with GPT-5

Agents built with GPT-5 benefit from improved coherence in multi-turn conversations, stronger instruction-following, and sharper reasoning in ambiguous scenarios.

Developers can now choose between

GPT-5 Auto with dynamic routing (see below) or
GPT-5 Reasoning which is focused on deeper analysis.

Using the selection GPT-5 Auto (Expermimental), GPT-5 introduces a real-time model router, allowing agents to dynamically select between two specialized models:

High-throughput model for fast, straightforward tasks.
Deep reasoning model for complex, multi-step logic and planning.

This dual-model approach ensures agents respond with the right balance of speed and intelligence, "mirroring human decision-making more closely".

Additionally, GPT-5 powers custom prompt tools in Copilot Studio, enabling agents to execute tasks such as document generation and data extraction with significantly greater precision and contextual understanding. These tools allow makers to define tailored instructions for AI agents, guiding them through specific sub-tasks with enhanced control, which can include:

Generating documents in a specific format.
Extracting key data points (e.g., invoice numbers from uploaded files).
Summarizing long-form content or knowledge base articles.

Although GPT-5 in M365 Copilot agents was announced in early August, the model has officially arrived in Microsoft 365 tenants and is available starting today. Delegate365–August Updates: Enhanced Features and Improvements

We are excited to announce the latest enhancements to Delegate365, designed to make your Microsoft 365 management even more intuitive and powerful. Building on the momentum of the recent releases, the August update introduces several user-driven improvements that provide additional productivity.

Assigned OU overview for administrators: Admins can now see the number of assigned Organizational Units (OUs) at a glance thanks to the newly added OU columns OUs and Group OUs in the Administration / Administrators list. This helps to see the assigned policies and the number of assigned OU´s.
Export administrators: The list of assigned administrators in Delegate365 can be easily exported to an Excel file or CSV file. The export now includes the last login dates for easier cleanup as well.

When exporting the administrator list, the OU names are also displayed.
Copy administrator profile: This is a powerful new feature that makes life easier for portal administrators. Open an administrator profile by clicking on it. It will open in the panel. Click the Copy link. Then select which administrator properties you want to copy to other administrators.

Select the administrator´s profile properties from the selection list that shall be used for one or multiple other administrators. Select the desired administrators and click Copy.
If the assignment hasn't yet been existing for an administrator, it will be made through the copy process.
If an administrator already has other assignments for OU´s and domains, these will remain and the copied assignments will be added.
Selecting the policy will always overwrite the copied permissions policy and license policy.

Copying organizational units and domains from one administrator to another is now just a few clicks away - ideal for organizations with many entities.
Dashboard Performance Boost: As described at Delegate365-June Updates, the dashboard has been revamped for better usability. The SKU sections are now neatly arranged on the right.
Small improvements: Various small improvements like updated descriptions (quick infos) and fixes.

Troubleshoot Delegate365 Insufficient privileges to complete the operation

When managing devices through the Delegate365 application that integrates with Microsoft Intune, you might encounter the error "Insufficient privileges to complete the operation", This issue may occur during specific operations if the Delegate365 setup has been used a longer time ago, or if the Global Administrator role has been removed from the Delegate 365 application by a Microsoft 365 administrator. In such cases, the administrator must reassign the necessary role to the application. The process for doing so is outlined below.

This issue typically arises when a user attempts to modify the owner of a device but lacks the necessary permissions in Entra ID. The cause is the missing Intune Administrator privileges. In this article, we’ll walk you through the steps to resolve this issue by assigning the Intune Administrator role in the Azure portal.

Add the required role to the Delegate 365 app,

Follow the steps here:

Open Delegate365, and navigate to Administration / App settings. Locate the "Client ID" and copy the App GUID to identify the app in the Azure portal, as shown below. (The App Id is different in each M365 tenant since it is created by the Delegate365 setup.)
Sign in to the Azure portal as Global Administrator or Application Administrator.
Open the Microsoft Entra ID menu and navigate to Manage / Roles and administrators (App registrations).
In the search box search for the required administrative role. Here, we need the Intune Administrator role.
If the Delegate 365 app is not already listed here, click on Add assignments.
Search for the "Delegate 365" app by its name or your App ID from the Delegate365 portal.
Select the Delegate 365 app (the one with your App Id), and click Add.
As result, the role assignment has been added to the app, as here. Done.
Now test the operation again in Delegate365.

Required roles

To ensure full functionality in Delegate365, certain roles are required when app permissions alone are insufficient. These roles are automatically assigned during the modern Delegate365 setup process.

However, if administrators are using an older setup or have manually removed roles from the application, the following roles must be reassigned to restore full capabilities:

Exchange Administrator
Intune Administrator
User Administrator

Add these roles for the Delegate 365 app as described above.

Summary

If your users encounter the error "Insufficient privileges to complete the operation", please check the role assignment above for the "Delegate 365" app in your Azure portal. By ensuring that the corresponding Administrator role is correctly assigned, you can restore full functionality in Delegate365.

Once the required roles are assigned, the operation should complete successfully.
