			<content:encoded><![CDATA[<p>These are some Time Management Tips I utilize (most of the time……) to <strong>reduce my time commitment in the business, so I can spend time on more valuable activities or just for personal time</strong>.  I think they can be effective no matter what type of business that you are involved in.</p>
<p><strong>1. Put a Price Tag on Your Time</strong><br />
Take the amount of money that you made last year and divide it by 2000 (40 hours x 50 weeks).  This is your hourly rate.  Whenever you are doing something of questionable value, ask yourself if you would pay yourself to do that activity?  If it&#8217;s not, either eliminate that activity because it&#8217;s not productive, or outsource it to someone at a lower rate.  You can now focus on more valuable work.</p>
<p><strong>2. Meetings are Time Management Killers</strong></p>
<ul>
<li>Don’t schedule meetings if they aren&#8217;t really necessary.  I used to have a lot of scheduled weekly calls with some suppliers and other partners that we worked with.  They would often be valuable at first but after several meetings, everyone felt obligated to join the meetings because they were valuable previously.  Unfortunately, we spent the same amount of time in them and got less and less done.  Maybe you can block off the time and meet only if someone really needs to that week.  Better yet, don’t meet with them  unless you have some specific business decision to make.</li>
<li>
 Don&#8217;t schedule meetings for an hour if you need 15 minutes.  If that is the time needed to cover something, schedule it for that amount of time.</li>
<li> Have agendas for your meetings and stick to them.  There really should only be 1 or 2 things that you need to talk about</li>
<li>Meeting to talk about nothing specific is a waste of your time.</li>
<li>Try to limit uncommitted conversations.   In the business environment, it is perfectly natural to have small talk amongst people you work with on an every day basis. These are conversations about the weather or television shows you watched the previous night. It is important to have these conversations with others in order to connect with them and show you are a human being. However, too many of these kinds of conversations are wasteful of your valuable time . It takes hard work to know when you are doing it, catch yourself and get focused back on the business item at hand. </li>
</ul>
<p><strong>3. Limit Hypothesizing</strong><br />
A lot of smart people waste a lot of time hypothesizing an answer to something when they should just stop and go get the facts. Too much time can be spent guessing or speaking with feelings versus speaking with data and facts. It is perfectly acceptable to admit “I don’t know the answer” as long as you follow it up with “but I will find out and get back to you”. </p>
<p><strong>4. Keep Your Workspace Clean and Organized</strong><br />
Keep your desk and computer clean and organized. I don’t have a permanent workspace or office (and never have in my young business career), so I treat every location I go into as a temporary workspace. At the end of the day, I pack everything up I need, put it in my briefcase and leave. </p>
<p><strong>5. Use a “To-Do” list</strong><br />
Yes, one and only one list.  I personally like to use Google calendar to keep my To-Do list but I know a lot of people who are proponents of taking it off the computer and away from e-mail so they aren&#8217;t tied so closely together.  I might do that eventually.</p>
<p>Here are some other real important points around To-Do lists:</p>
<ul>
<li>Do not use your email inbox as a To Do list. Your email is a business tool used to communicate with others.</li>
<li>Always make your To-Do list short enough that you can complete it the next day.  Don&#8217;t have 20 things that you will never realistically be able to accomplish.  I like to have 2 or 3 big things that I need to accomplish. </li>
<li>Complete your “To Do” list for the next day before you close up shop for the night.</li>
<li> Review your list and work to move things off it and always place new things on it.</li>
<li>If you have your list in Outlook or Google Calendar, print it out and work off that paper.</li>
<li>I read Stephen Covey&#8217;s 7 Habits of Highly Effective People a couple of years ago and he had a great concept of placing your time in quadrants. He noted that highly effective people prioritized their time around important items and urged the notion that not everything is urgent all the time. So, I prioritize actions around these categories and try to spend most of my time in Quadrant 2 (Important Stuff but Not Urgent). There are enough unforeseen problems that pop-up and consume your attention each day. It is always okay to ask others when they want something back from you to gauge the importance and urgency.</li>
</ul>
<p><strong>6. Check Voicemail and E-mail Twice a Day</strong><br />
Check your voicemail and e-mail twice a day.  Don&#8217;t check them first thing in the morning.  I recommend checking it at 11 AM and 4 PM. </p>
<p>This means that you absolutely have to remove any new e-mail notifications from your computer so you&#8217;re not getting a notification whenever you receive your e-mail.  I even turn off Outlook&#8217;s automatic Send/Receive so that I can get stuff in e-mail without checking out everything that was sent to me.</p>
<p><strong>Best of Luck with these Time Management Tips</strong><br />
These time management tips are intended to be helpful. They work for me on most occasions. No one is perfect all the time and it takes great discipline to police yourself if you want to achieve higher levels of productivity and effectiveness. </p>

<p><a href="http://majibu.com/">Majibu</a>.  I severely dislike those &#8220;Ask Auntie Tabby&#8221; type of columns in the newspapers where some wise guy (or girl) answers readers questions.  However, more than once Yahoo Answers has provided me with very accurate answers to very specific questions.  Therefore, Majibu &#8211; which looks like a local version of yahoo Answers &#8211; excites me in that it is now, theoretically at least, possible to get &#8216;local&#8217; answers to any questions you may have.  Give it a try!</p>
<p><strong>Flops</strong><br />
<a href="https://e-pesa.net/">E Pesa</a>.  Perharps this is an unfair review but I just would NOT do any business with this site.  The idea is good but, well, the site doesn&#8217;t inspire enough confidence in me to take them seriously.  It is important to do this when handling money.  The fact that the site says &#8220;Copyright © E-pesa <em>2008</em>&#8221; doesn&#8217;t help one bit!  Please be careful when dealing with these guys or just do not do it!</p>
<p>What could they do? Spruce the site up and make it more appealing.  Also, keep it updated.<br />

<p>To be frank &#8211; your best clients and your easiest jobs – I don’t want.  We don’t look for typical clients looking to build a website or implement some online marketing. We turn down all requests that come our way.</p>
<p><strong>Here Is The Goldmine I’ve Discovered…</strong><br />
Create “products” for niche markets and sell them to the masses of small businesses who are eager to buy them.</p>
<p>We’ve perfected the formula. It goes like this. Pick a niche. Develop something that works and passes the following test:</p>
<ol>
<li>It is simple and inexpensive to produce</li>
<li>It can be priced to produce a killer profit</li>
<li>It can be marketed like crazy</li>
</ol>
<p><strong>Successful Businesses Create Niches Where They Don’t Exist</strong><br />
Most businesses are <strong>the same company with different owners and a different name and logo</strong>.  They’re all chasing after the same prospects and leads with the same marketing and sales methods and the same products.</p>
<p>Successful businesses, on the other hand, sell a different type of product or service.  They are not carbon copies of their competitors.  They have found a different type of product or service to sell to their clients. </p>
<ul>
<li>Maybe they add something to their product to make it different from what everything else sells</li>
<li>They sell their service as a premium version of the commodity that everyone else sells, since it is unique</li>
<li>They are able to control the price as their product/service is unique</li>
</ul>
<p>Do SOMETHING different than everyone else.  Usually that involves the product or service that you sell.  When you dig real deep, it might be the same type of thing that your competitor is selling.  However, successful businesses have done something different &#8211; made it more special somehow.  Once you do that, it’s easier to sell, you can make more money, and you don’t have to struggle to reach a hotly contested market.  Why stay in the shark-infested waters when you can seek out the <a href="http://juamore.com/2010/05/blue-ocean-strategy-how-to-create-uncontested-market-space-and-make-competition-irrelevant.html">deep blue ocean</a>?</p>
<p>For example, if you run a web design company, or if you do web design on a freelance basis, do you really think you can compete in today&#8217;s market?  Everybody <em>and their mother</em> is a web designer nowadays!  If you run your business just like every other web designer out there you will be dead in a few months.  You have to be smart. So be smart.  Be different.</p>

			<content:encoded><![CDATA[<p>Just got here?  Here is <a href="http://likechapaa.com/2010/08/enter-elance-part-1/">Part 1</a> and <a href="http://likechapaa.com/2010/08/enter-elance-part-2/">Part 2</a>.</p>
<p>In the morning, I got mail that I&#8217;d won two jobs on <a href="http://elance.com">Elance</a>. Yay! Then I went to the kiosk and came back to see that I&#8217;d won two more jobs on GAF. Oookkkaaaaaay. While I was fixing breakfast, a third GAF client sent me a &#8216;yes&#8217; for my bid. Yikes! I now had five different gigs totalling $300 and just four days to get them done. This was a different kind of panic.</p>
<p>I managed to push two of the clients to give me some extra time. One was crabby about it, but he liked my work, so he said ok. The other seemed excited that he had to wait. Go figure. He actually gave me five exra days, which is awesome. I like Canadians.</p>
<p>So far, I&#8217;ve managed to finish three of the projects, but I still have two to complete before Tuesday, and they total 190 articles ranging between 350 and 600 words, for which I will be paid $140. Wow.</p>
<p>Sometimes I think it&#8217;s sad that people with talent and papers get stuck doing grunge work. On one job that I bid, a fellow freelancer explained that he had two Masters degrees and had edited a newspaper, yet his bid was lower than mine. Plus, he&#8217;s in the States, so I&#8217;m sure he needs to earn way more than I do. The cost of living there is higher. But I guess we do what we have to.</p>
<p>Elance is a touch more OCD than GAF is, which is why the clients there are willing to spend more. Once you win a job on Elance, you get a workroom where you have to issue status reports on the progress of your work. You have milestones, or targets, so that the client knows exactly how many articles you have written by a certain time. You can get jobs where you&#8217;re paid per hour, and there&#8217;s a stopwatch to calculate just how much time you&#8217;ve actually spent on the project. There&#8217;s a provision for having a freelance team, so you can bid on multiple projects and &#8216;outsource&#8217; with more transparency.</p>
<p>I like Elance more than GAF because the jobs are at a higher level, so you&#8217;re more likely to work with professionals. Online professionals are generally nice. Sometimes the people I work with on GAF are bullies with zero customer care, and it&#8217;s enough to make you smash your monitor &#8230; on their heads! The things we do for <span style="text-decoration: line-through">love</span> money.</p>
<p>So, between Elance and GAF, I&#8217;ve reached my August target of $500, which has me pretty excited. My target for next month is $2000. I&#8217;d eventually like to make $5000 dollars a month, so that I can own a penthouse by 2020. I still have clients offline who bring in another 10 to 20,000 Ksh some months, but they&#8217;re not consistent, so my online work does the bills. Any work from the &#8216;real world&#8217; is an investment bonus.</p>
<p>I can&#8217;t withdraw my GAF money before 31st, but after that, I can access it through Moneybookers, and I hear <a href="http://likechapaa.com/2010/08/paypal-now-works-in-kenya/" target="_blank">Paypal finally styled up</a>, so yay! My GAF debit card gets here in about a month, and it&#8217;s usable on Elance as well, so I can easily draw my money. But meanwhile, I&#8217;m paying my membership through Paypal via my KCB card, and now that it accepts cash receipts, I can divert my Elance cash there and figure out some other way to draw it.</p>
<p>I&#8217;m really liking this freelance gig. It&#8217;s virtually cost-free except for electricity, $30 for membership, and my Zuku subscription. There&#8217;s no market saturation because there&#8217;s enough work for all of us. And the best part is that unless the worldwide web collapses, I&#8217;ll never be  retrenched or fired. How cool is that?</p>

<p>Next, you set up your profile by adding education and employment info. You don&#8217;t have to, but it helps you get jobs, because the client can see what you can do. Papers [or lack of them] are not necessarily a disadvantage online. On the internet, most people don&#8217;t care if you&#8217;re a boy or girl, if you&#8217;re black or yellow, if you have three PhDs or a high school diploma. What they care about is your skill, and you can show that clearly in your bid.</p>
<p>Speaking of skills, <a href="http://elance.com">Elance</a> has lots of free tests that you can do to prove how good you are. All the tests are multiple choice and are timed at 20 to 40 minutes. Some of them are pretty hard. When I first joined, I was afraid to bid and fail, so I procrastinated by spending six hours doing tests. I told myself I was improving my chances of being hired, but I knew I was just stalling. I did about 12 tests and failed two of them. Four more tests were registered as incomplete because I chickened out after doing three or four questions. Incomplete grades you as auto-fail by the way.</p>
<p>Depending on the type of membership you have, your profile will show between 5 and 20 test skills. They&#8217;re important because when you bid on  job, the client will check to see if you have the right skills for it. Fortunately, you have an option to hide your failed tests, so phew. Also, if you fail a test [or if you want a higher score] you can resit the test after 14 days.</p>
<p>Let&#8217;s see, what else. Oh, you have a number of connects every month which allow you to bid jobs. Most jobs need just one connect to bid, but the higher the budget, the more connects you need. Free  membership gives you ten connects a month, which means you can&#8217;t bid on more than ten jobs, although you can buy more connects at any time. 10 extra connects cost $5. I have a paid membership, so I pay $10 per month and get 25 connects. I generally bid on one job per day. Combine this with GAF and I&#8217;m trying out for 6 jobs every day, though I don&#8217;t bid when I have clients waiting; I don&#8217;t want to be overwhelmed and end up breaking deadlines.</p>
<p>Being the Queen of Technobofia, I had a few issues registering on Elance. I somehow managed to book myself in as a programmer, so I couldn&#8217;t bid on any writing jobs. I tried to correct it but got nowhere, so I registered a new account, this time as a writer, but it wouldn&#8217;t acknowledge my membership so I couldn&#8217;t do any tests. Then, because I had two account on the same IP, both accounts were suspect and kept asking me to prove that I was really me. *russumfussumsecretquestions*</p>
<p>I asked Support for help, and this awesome lady named Sophie helped me out without so much as a giggle. She deleted one account, corrected the second account, and upgraded me to 25 connects. I&#8217;m amazed she was so patient, as it took 10 emails between us to fix everything. I&#8217;m clearly a <a href="http://likechapaa.com/2010/08/kenyans-on-freelancer-part-4/" target="_blank">Passenger D</a> kind of girl, but you rock Sophie.</p>
<p>When I finally got over my fear [and ran out of tests to do] I bid on four jobs, then I went to sleep. Two bids were $100 each, one bid was for $250 and the fourth was for $300. I used up four of my 10 free connects. That day had been particularly rough, because I hadn&#8217;t won a bid for five days. I went into panic mode and bid on seven GAF jobs plus the four on Elance.</p>

			<content:encoded><![CDATA[<p>I&#8217;ve been a GAF member for just over two months, but I&#8217;ve only been active since the 1st of August. So far, I&#8217;ve earned $ 180, which is not a bad start. It&#8217;s hard, because some days I have work from three different clients and I&#8217;m afraid to sleep, then after that I get four days where I win no bids at all.</p>
<p>The best strategy is to make as many bids as you can. I try to do a minimum of five bids a day, and some days I do as many as ten. The down side of this system is that I may end up with more work than I can handle. Luckily, the clients I&#8217;ve worked with are happy and patient, and some are willing to wait a few days before I start on their projects. In a way, you seem more talented when you have a waiting list, so the clients are more convinced you&#8217;re worth their money.</p>
<p>Once you get to the level of having too much work, you might want to do what <a href="http://nickelpro.com" target="_blank">Wham</a> called <a href="http://likechapaa.com/2010/08/rich-man-poor-man/" target="_blank">working smart</a>. You could gather your own team and outsource some projects to them. That way, you work less and earn more.</p>
<p>It&#8217;s a system that wouldn&#8217;t work for me because as much as I enjoy making money, I enjoy the writing more. Unless I&#8217;m really broke, I only bid on jobs that look like fun, so having someone else do the work would take the pleasure away. For me. Fortunately for capitalism, very few people think like I do. *cheeky grin*</p>
<p>Being a one-woman operation seriously drops your earning potential though, because no matter how good you are and how much coffee you drink, you can only work so many hours in a day. Besides, coffee makes me hyper.</p>
<p>There are two ways to fix this problem. Not the coffee problem &#8211; that one is beyond salvaging, so I just stick with black lemon tea. The only way you can boost your income &#8211; without becoming an employer &#8211; is to bid on bigger jobs. On sites like GAF that&#8217;s not quite possible, because the average gig pays $30. The site was started as a way for employers to get their work done on the cheap, so the low cost is part of their strategy. I thought about finding another site, so I tried <a href="http://elance.com">Elance</a>.</p>
<p>Elance is a slightly high-end provider compared to GAF. The lowest you can legally bid on a job is $50, and they have projects with a budget of up to $100,000. Per job.</p>
<p>Of course, Elance is harder to get into than GAF. I opened my account in July, then ignored it for a few weeks because I had to take a test to enter. *Groan* Eventually, I gathered the guts to do the test. It&#8217;s multiple choice, and it&#8217;s open book. Each question gives you a link where you can find answers, but since the test is only 40 minutes long, you may not have time to use the links.</p>
<p>There&#8217;s a resource called Elance University that gives you all the material for the test, and it&#8217;s a good idea to browse the campus before you sit to answer questions. EU gives information on where to get jobs, making successful bids, how to get paid and things like that. You can either read the material or watch a video. It&#8217;s pretty basic stuff, but there&#8217;s a lot of volume. I had to hang out there all day before I felt ready, and I still scored just 80%.</p>
<p>After you pass the test, you have to verify your phone number so they know you&#8217;re legit. It&#8217;s a pretty straightforward thing. When you click &#8216;verify&#8217;, you get an alert that asks you what time you want to be called. You can choose &#8216;right now&#8217; or &#8216;in two minutes&#8217; or whatever. The autovoice thingie gives you a call and while your phone is ringing, a code appears on your screen, which you read out when the autovoice tells you to. Voilà, you&#8217;re legit.</p>

			<content:encoded><![CDATA[<p><img alt="" src="https://www.paypal.com/en_US/i/logo/paypal_logo.gif" title="PayPal" class="aligncenter" width="200" height="50" />Well, yesterday was a very significant day for me.  I am not sure exactly when it happened, but receiving money in Kenya through <a href="http://paypal.com">PayPal</a> is now possible!  Kenya is officially on of the <a href="https://www.paypal.com/worldwide">PayPal supported countries</a>.</p>
<p>yesterday there was a heated discussion on the <a href="http://www.facebook.com/group.php?gid=5296194510">Skunkworks Kenya</a> mailing list on whether one can use PayPal in Kenya.  During this discussion, one of the skunks happened to visit the PayPal site and <em>lo and behold</em> Kenya was on the list of supported sites.  It was not long before the skunks quickly tested and confirmed that receiving money in Kenya via PayPal is now actually possible!</p>
<p>Why is this important?  Almost everybody knows about PayPal and they are the most popular company to process payments on the Internet.  Many people will trust paying through PayPal because that&#8217;s what they normally use.  In fact, in countries like the USA, if you do not offer an option for buyers on your e-commerce site to pay via PayPal, buyers will think twice before buying from you.  Just using PayPal inspires trust amongst your potential customers.</p>
<p>Now that PayPal supports Kenya, I expect that e-commerce in Kenya shall grow even faster.  </p>
<p>Unfortunately, you can receive money into your PayPal account in Kenya but you cannot yet withdraw it to a local bank account &#8211; you have to withdraw it to a US bank account.  This is definitely going to be a hindrance for many, but there are rumours that PayPal is working with <a href="http://www.equitybank.co.ke/">Equity</a> and we shall soon be able to withdraw to an equity bank account in Kenya.  Is this great, or what??</p>
<p>So, this is all great but how do you actually use PayPal to do e-commerce?  Well, PayPal offers two main ways of getting paid:</p>
<ol>
<li>Anyone can send money to the email address that you used to sign up for PayPal and you will receive it int your account.</li>
<li>You can integrate PayPal into your own website to power payment processing for your online shop.  <a href="http://www.dukapress.org">DukaPress</a> is probably the easiest way to do this as it supports PayPal straight out of the box.</li>

<p><img alt="" src="http://farm5.static.flickr.com/4115/4926005072_f62b324274_d.jpg" title="Smart Business" class="alignleft" width="250" height="187" />Over the years, we&#8217;ve worked with very many people and many, many small businesses.  I it&#8217;s always interesting to see how a small business is run and how the owner approaches it.  I was thinking about this today, and I realised there are two types of small business owners: <strong>hard workers</strong>, and <strong>smart workers</strong>.</p>
<p>Comparing these two is very eye-opening.  Take two businesses in the same industry with the same amount of experience and you will get drastically different results depending on the owner&#8217;s approach to business.  I am going to just say it: &#8211; some people work too much, which hurts the growth of their business.</p>
<p>I know a smart guy who only works a few hours a day on his business compared to the 12-15 hour days that other owners work each day (and a few hours each weekend).  Based on my real rough estimates, I believe that his business also made about 5x as much as the other owners (in the same industry).  Imagine that &#8211; you work a quarter of the time and your business makes five times as much money.  Or to look at it another way, you are 20 times more productive with the time spent managing the business. </p>
<p>Both types of owners probably make a very comfortable income but even if I made the same amount of money, I would take the business that requires a quarter of my time.  I could use that time to do whatever I wanted or I could use it to grow my business or start new businesses.</p>
<p><strong>What is the Difference?</strong><br />
Smart business owners are incredibly gifted at creating a process oriented business.  It&#8217;s a very educational experience every time we work with them or visit their offices.  Everything such an owner does has to be broken down into repeatable systems and processes.  If it can&#8217;t, he&#8217;s not interested in it.  He could easily take on new business if he wanted, but the work would be ad hoc, and would not scale well.  If it isn&#8217;t something that he can scale, he won&#8217;t do it.  It might cost him 2 or 3 customers a month, but if he is spending his time creating systems to bring in 10 other customers on his terms, which one do you think is a better deal?</p>
<p>The other type of owner is very detail oriented.  He believes very strongly in personal service and is involved in every step along the way, from marketing, to sales, to operations.  Instead of delegating work to other employees, he does everything himself.  Instead of creating a product that he can sell over and over again, he customizes everything for his clients. </p>
<p>Remember, this owner is very successful and he would be correct if he said he&#8217;s been successful for a long time doing it in his style, so I don&#8217;t want to say that hard work isn&#8217;t the right way to grow.  But if he had just relinquished some control and created systems and processes so that other people could execute them, I bet his business would be a lot bigger than it is now.  If he decided to put in just 1/2 the time each day that he is used to, he would be been forced to create systems that other people can execute. </p>
<p><strong>When Hard Work is Required</strong><br />
When you are starting your own business, you need to spend a lot of time in the business, growing it.  If you don&#8217;t do it, no one will.  But instead of doing everything yourself, you need to start creating systems and processes so that other people can start operating the business.  If you sell some sort of product, don&#8217;t be the salesperson, customer service, and operations manager.</p>
<p>Start out by creating systems to outsource some of the work and then continue to move away from each part of the business.  Otherwise, you will be working too much and you will end up hurting the growth potential of your own business.</p>
