Six Secrets to Winning Over an Editor on Your First Email

By Annie Leedom

If you are like most experts you have spent hundreds of hours over the years offering your content to websites, only to find your hard work ignored or rejected. In some cases it may be accepted and then utilized in another author’s content with no reference to you whatsoever. No links, No promotional acknowledgment.

Its one of the most frustrating moments an author or expert ever encounters. Here are six secrets you need to know to stop this from happening to you. Let’s get started.

First glance… Credibility is a powerful tool in life and I want to teach you how to leverage it to boost your content to the top of the expert pyramid. An editor looks for credibility on their initial review of your content. Use your credentials. Make a clear statement instantly about your proven record that says you deserve their attention.

Eye candy… To an editor your website is the key. Make sure your site is professional, colorful, easy to navigate and unique. All the various factors that go into a well designed, clean, effective website need to hit the editor just right and they say “wow”! Create a sense of eye candy with your website that editors can’t resist.

Content imprint… Starting with your first word, make sure your content makes a statement, creates impact and leaves editors with a real hunger for more. Your topic, your voice, research, and specific tips all are part of creating the perfect article.

Spotlight bio… Include a short bio focusing more on what you have to offer to an editor’s readers than just who you are. Position your strategic links to promote your revenue models, but focus primarily on the value you offer to an editor’s viewers.

Media Shout Outs… Present your media logos in your presentation to your editor. On your website, a few in your signature, let them see as soon as possible that major media love you. Ok, even local and regional media. ANY media approval is going to help move you to the next level.

Branding Shield … This is where it all comes together. You must have a strong, clear, unique and effective branding message that translates and clearly set you apart as THE expert in your genre. Six seconds…. that’s all you have.

An essential activity for an expert is to evaluate how effective your online content is. Will it be well received by editors? Will it give you the conversion you seek? Is it memorable and will it be picked up in searches? These are just a few of the questions you need to keep in mind when you prepare your articles for online placement.

1. Write to entertain and inform readers about what they want to know, not what you want to tell them. Hit an emotional chord.

2. Keep your paragraphs short and to the point. Online readers typically scan rather than read in great detail.

3. Keep your word count to 500-700 words. The goal is to entice readers to come to your website. So don’t be shy about leaving your readers wanting more.

4. Give specific take-away tips. Being a great resource is a crucial way to increase your long term value to your readers. It also motivates people to share your content.

5. Find a unique spin on a very popular topic. Don’t avoid commonly discussed topics, just be very creative about how you approach the topic.

6. Weave in a personal tone that suggests you have a real connection to your content. People tend to avoid being ‘taught’. They respond more to a sense that you’ve been there too.

7. Include your credibility without sounding promotional. Nothing turns editors off more then content that sounds like a sales pitch.

8. Include an introduction to set the tone for the content you are providing.

9. Include a brief summary to close out the content and give it a sense of being complete.

10. Make sure your titles and several words throughout the content are tied to what people actually type in to search engines. Being keyword friendly is a major component to effective organic SEO.

Do you know the one secret successful experts know about leveraging online placements? Learn the secret experts use to create revenue and build a meaningful platform.

Most experts know that the fastest and most affordable way to create traffic to their website is through organic SEO. This strategy provides the links that Google recognizes and boosts your ranking virtually overnight.

There are a few insider secrets you need to know to make the most out of this “Expert PR” strategy.

First, your content must be positioned prominently on highly credible and relevant websites. Placing arbitrary content on unrelated websites will do little to help your SEO. Using a few highly effective strategies national experts know, you can create an online presence that will have impact on your revenue models and create interest in you as a speaker and media expert.

Second, you must secure a link from a site that is not a “no follow” link, which Google will not see.

Third, add a couple of text links to related content in your own site. This does not include sales pages, but rather meaningful content that will encourage the reader to click through your website.

Ultimately, quality content that is not mass syndicated is king. Creating partnerships with highly prominent and relevant websites will go a long way to securing top SEO rankings for your chosen keywords.

Learn the strategy used my media experts to create a national platform and create revenue through coaching, products and other services.

As you prepare to launch your book, you have a decision to make. How much do you allocate in your budget to Traditional media, and how much should go to social and Internet Publicity?

That’s a simple question to answer. Just ask yourself these crucial questions and you will have a clear idea as to how to move forward. As always, let us know if you have any questions. We are always happy to help you evaluate various strategies to decide what is best for you and your business.

1. Do I have a clear idea what I want to accomplish? If your goal is to secure spokesperson opportunities and write books ongoing Traditional media will be more helpful. If you want to create passive income, increase speaking events, and create digital products than an online platform is essential. Ideally you need both, as they are critical to form a complete media platform.

2. Do you have any credibility to date? Online PR can create an almost instant presence for you as an expert, allowing you more easily gain the attention of producers and reporters.

3. Do you need strong SEO ranking? The only way to truly create this is to have an ongoing Online PR outreach with some of the most prominent sites online. This powerful backlinks are critical to securing top ranking on Google.

4. Do you have a budget to hire a publicist who can effectively position you on prominent websites?

5. Do you have the time and desire to handle your own PR?

There are other considerations, however once you have these questions clear in your mind, you can decide how best to proceed. All media is helpful in order to build your platform as an expert. Doing the right things at the right time in the right way is the formula for success!

Most are aware that being an ongoing expert or contributor for a highly respected website with strong traffic can boost their search engine rankings, overall credibility and position them in front of millions in a short period of time.

However, rarely do new clients realize the steps they need to take to position themselves properly to take advantage of the online exposure we create. If you are considering an online campaign, be prepared to evaluate and fine tune the following elements.

1. Define your demographic and be very clear about your message. Your materials need to showcase the benefits of your work in a clear and unique manner. Its this specific and meaningful presentation that captures people attention and motivates them to seek out your services in more detail.

2. Present a clean website with a clear navigation and content schematic. Don’t make people work to find out what you offer, how it will help them and ultimately, how to purchase your products and services. Reach people on an emotional level and show how you have the answers they need and the credibility they can trust.

3. Create a mobile website to highlight the most important and graphic elements of your work from a smart phone. More people access content now from their phones then they do online so be sure you have a mobile website to coincide with your traditional website.

4. Create compelling content and interface with additional content throughout your website. The more people are drawn into your content, the more they will seek out your products. Utilize the content you can provide to entice readers to want more.

5. Create a wish list of diverse websites who will all reach your demographic, albeit in various ways. Your target market may access parenting sites as well as health sites. Ideally going to several different genres will reach the most people in your demographic.

Working with all the elements to prepare for an online placement campaign is the most effective way to leverage the traffic and search engine rankings you will secure over time. Motivating your new site visitors to want more and more content will ultimately lead to customers. Create a specific strategy and enjoy the success and pride that an online expert platform will provide.

Regardless of where you are in your process…..a new author or a sought-after expert and media resource, your goal should be the same. Create a visual and compelling presentation on your website and then bring traffic to your site to build your business. Many experts get lost in the myriad of options and therefore don’t create a clear methodology to achieve their goals. Here are the crucial steps you need to follow to build your business and create revenue from your website.

1. Decide on your business model before you do anything. What do you really want to focus on in your revenue models? There are many options…writing, Apps, video content, corporate spokesperson, speaking, and more. You are not limited to only one. However there needs to be a real strategy in place to motivate people to purchase your products and services. So clarify your direction first.

2. Build a website that is meant to accomplish one primary goal…create sign-ups to your list. Building a list of interested people who want more information from you is the number one way to actually start to create revenue. People are not going to just typically come to your site and buy your products. However, they will sign up if they like what they see. Now you have a real potential customer.

3. Create a website that shows that you understand the customer’s need, rather than focusing on just who you are and what you offer. Visitors need to see your overall work and message, they need a brand they can connect with and they need to see themselves in your work. It must be very clear how you can help them. When a visitor sees themselves in your site and they believe you are credible, you have moved then into a position where they are likely to purchase from you.

4. As your list grows you now need to focus on offering steady content and special reports that help people connect more in-depth what you have to offer. Maintain an ongoing flow of ‘teaser content’, describing their issues, how you can help and some tips on what they can learn from you if they purchase your products.

5. Create links from your reports to additional content on your site. Statistically it takes 3-4 clicks to create a sale. The more you motivate them to click, the higher the probability of a purchase.

Ideally, keep your articles and reports very focused on specific issues. Address their difficulty or the potential of what you can help someone with and then provide specifics to show how you can help. People buy from people they can trust and who understand their needs. That is true in brick and mortar sales as well as online sales.

Authors and experts have many options when it comes to choosing how to spend their time and budget to promote their work. Radio, TV, print and of course, the Internet are all avenues that need to be explored. Going online can be very confusing. Blogs, ads, articles, creating and maintaining a website…there is just so much to consider!

Let me help clarify the benefits and downsides of these options. If you are fairly new to the scene and not well known, radio and TV will not typically create a great deal of impact and it can be very expensive. Here are four reasons to focus your resources online.

1. Credibility. Until you are well known it can be difficult to gain access to national media. Its also difficult to encourage people to purchase products from you. Establishing yourself as a national expert with a platform reaching millions via select websites is a fast and affordable strategy to gain credibility.

2. Pathway to Sales. The Internet is the only media that creates a living and easily accessible record of who you are, including links to all aspects of your website. Once your content is live and searchable there is a permanent pathway for people to access your work without having to remember what they heard or saw through a radio or TV interview.

3. Branding. In an online environment you can be very specific about the message and concepts you want to communicate in your work. This allows you to distinguish yourself from others in your field and truly stand out.

4. Repeat Exposure. The Internet is a far more affordable way to reach millions and to position yourself as an expert. Therefore you can maintain an ongoing flow of content which is crucial to creating long term sales impact. People rarely purchase at first glance. A strategic expert placement campaign builds trust between you and your audience over time, which is a key component in meeting your business goals.

As the economy continues to struggle I see an ongoing tragedy in the publishing world. Authors, experts and others who have valuable and significant products and services to offer aren’t able to create exposure and demand due budget constraints. Publishers aren’t promoting as many books as they once did, bookstores are closing and far less people have a strong budget to get their information out in a consistent and meaningful way.

When people speak with a publicist they are often saddened to learn that the process takes time and ultimately, money. Therefore they are left to figure out how to conduct their own PR outreach in the hope of creating income to further their dreams.

Acting as your own publicist can be very effective and far more affordable, assuming you have the time to commit to the process. All forms of advertising and PR take time to create the desired impact under the best of circumstances. When you add in the learning curve and the time it takes to create relationships with targeted websites, patience will need to be the first ingredient in your recipe for success.

Let’s review some of the factors to take into consideration before you make a final decision as to how you would like to proceed.

1. Create an effective environment. Working in a specific place at set times of the day can help you build the focus required to learn and implement the new skills you are about to acquire. Removing as many distractions as possible will be very helpful in keeping you organized and following through. These are two traits all good publicists must possess.

2. Create a plan. Start by being your own client and ask yourself the crucial questions to develop an effective strategy. Who is your real target audience? What are your revenue models, short and long term? Does your website mirror your branding, invite people to sign up and to ultimately purchase your products and services with ease? What is your message that will distinguish you from others in your field and which websites will best represent that message for you? Moving forward with a well thought out plan is a critical step to being successful.

3. Develop your presentation materials. When you reach out to an editor the last thing you want to do is to make them feel they are getting the same package that several other editors are receiving. Create relationships with editors one-on-one. Review their site in detail. Know what they want, both in terms of content and format and give them articles they can use quickly and without a great deal of editing. Offer them ideas on future content you would like to provide. The more you make their job easier and increase their credibility, the more they will want to utilize your work and promote you prominently in the process.

4. Follow up…follow up…follow up. After you send your initial article and a BRIEF email introducing yourself, you will in many cases need to follow up within 2-3 days. Editors are very busy and often work with the people who care the most. Don’t be afraid to send a very short email to follow up, confirm they received the piece and ask if they plan to use it. They are getting quality content free of charge so its reasonable you would like to know what their plans are and be notified upon posting the content. In addition, be sure and thank them once the content is posted.

Continue to build that relationship and get to know the editor. Its all about people….they are helping you, you are helping them, and ultimately you are both helping many others through your combined efforts.
